 As Administrative Coordinator to the Director of the Institute for Community and Society Transformation (ICAST), the successful candidate will oversee administrative day-to-day operations on behalf of the Institute Director and in coordination with the Institute Managing Director. The Administrative Coordinator will help coordinate and manage all activities related to affiliated projects and programs within ICAST.


  Typical Functions May Include

  • Work with the Managing Director and/or Director to coordinate all activities related to ICAST project(s) and programs(s). Assist in developing processes and procedures for building and maintaining ICAST infrastructure, including but not limited to preparing and maintaining ICAST related documents, space management, and equipment inventory.
  • Assists with preparation of budgets, controls delegated budgetary expenses and maintains budgetary records
  • Assumes day-to-day responsibility for organizing and coordinating specialized clerical functions
  • Schedules appointments and makes travel arrangements
  • Establish and maintain ongoing reporting processes, including but not limited to program budget, reconciliation of related program expenses, and project status relative to deadlines.
  • Reviews billing from contractors and vendors, adjusts as needed.
  • Assist in developing and administering program procedures for monitoring and tracking all program-related data, expenses, etc.
  • Serve as a liaison with offices on and off-campus; attend meetings, workgroup sessions, and seminars as needed. 
  • Plans and coordinates special projects.
  • Assist in grant proposal preparation which may include checking budget sheets, CV formatting, proposal formatting, and organizing aspects of team meetings. 
 

Job Requirements

Required: Bachelor's degree, AND:

  • 12 months of related experience.

Equivalency/Substitution:  Will accept 48 months experience in lieu of the Bachelor's degree for a total of 60 months related experience.


 Skills:


  • Proficient in Microsoft Office and Computers

  • Detail oriented for accuracy of data and information

  • Highly organized and able to handle multiple projects and deadlines

  • Able to communicate well and build rapport quickly with students, faculty, and staff

  • Able to produce reports and complete work within deadlines

  • Strong initiative to solve problems

  • Ability to work independently and good organizational skills

  • Customer service

  •  Must be able to engage in repetitive motions and communicate effectively. Sit for prolonged periods.
