Job Summary
 

The Coase-Sandor Institute for Law and Economics at the University of Chicago Law School is seeking a full-time Administrative Coordinator to support the program and administrative activities of the Institute.

Responsibilities

  • Provides administrative support to the Institute Director and other key staff and faculty members.

  • Serves as the point person for the Institute's administrative issues and resolve many office problems independently.

  • Executes Institute plans for sponsored events and special projects; for example, workshops, annual conferences, bi-weekly workshops, public lectures, and an International Summer Institute in Law & Economics.

  • Works with the Director and/or the Law School Events office to identify appropriate venues and negotiate with caterers and other vendors.

  • Arranges logistics for speakers and other visitors.

  • Produces marketing and mailing pieces to promote Institute initiatives; maintains mailing lists, and distribute materials.

  • Prepares content for presentations, meetings, reports.

  • Plans, develops, analyzes and manages budget, including forecasts.

  • Executes day-to-day financial processes including payment of invoices, purchase of goods and services, and processing of reimbursements.

  • Performs pre- and post-award activities relating to grant proposals and other funding.

  • Assists with developing and maintaining the Center's website presence and on-line marketing channels.

  • Facilitates collaboration with Law School, University and other partners.

  • Assists in the monitoring of the various financial and budgetary activities, including vendors contracts. Preparing and monitoring the budget for a unit.

  • Researches and analyzes data to create reports, and may create other reports for grants and contracts.

  • Performs other related work as needed.


Minimum Qualifications
 

Education:

Minimum requirements include a college or university degree in related field.

Minimum requirements include knowledge and skills developed through 2-5 years of work experience in a related job discipline.

Preferred Qualifications

Experience:

  • Experience with event planning and implementation strongly.

  • Experience with budgeting and fiscal management.

  • Experience with tracking budget expenditures and financial reporting.

Technical Skills or Knowledge:

  • Advanced Microsoft Office skills (finalists for the position will be required to take an Office Skills assessment).

Preferred Competencies

  • Excellent written and verbal communication skills.

  • Demonstrated administrative and organization coordination skills.

  • Problem solving skills and ability to exercise mature judgment and use initiative in conducting day-to-day activities, setting priorities and meeting deadlines.

  • Ability to work effectively with staff, faculty, University and other officials, as well as with students, and high-profile visitors.

  • Exposure to, and an understanding of, an academically rigorous university research  environment.

Working Conditions

  • Occasional evening and weekend work required with notice.
