The Administrative Coordinator provides high-level administrative support to the Offices of Community Standards and acts as the first point of reception in Community Standards.
WHAT YOU WILL DO
- Responsible for office management including fielding and routing all incoming phone calls, placing office supply orders, and managing phones, printers, and copy systems.
- Monitor and help maintain budgets which includes submitting expense reports and invoices through proper channels; maintaining and reconciling budgets for departmental accounts; processing financial payments; and procuring materials for workshops and activities.
- Ensure the office complies with Babson College policies and procedures.
- Assist in updating and maintaining departmental website and Hub content.
- Serves as the note taker during meetings as requested by the Director.
- Serve as the primary office manager for the Office of Community Standards, which includes centrally supporting all external and internal office functions for the department; daily management of Community Standards email account.
- Maintaining the Community Standards Office environment in accordance with the department’s philosophy around the customer service experience.
- Oversee Maxient watch list alerts and relevant file updates, including appeal submissions when applicable, sanction completion updates, and compliance notifications.
- In conjunction with the Assistant/Associate Director, review daily brief and associated updates to case management logs and case creation.
- Assist with Hearing Board processes including outreaching to board members to schedule hearings; booking hearing rooms; purchasing food for trainings and/or hearings; assisting with the recruitment and selection processes; and supporting the case file creation and distribution process.
- Responsible for the management of all student conduct files, including responsibility for the file retention policy.
- Assist with the response to requests for student disciplinary background checks.
- Serve as Sanction Compliance Officer for Community Standards, including the management of registration holds; develop and maintain process for receiving fines.
- Collaborate with Student Life on census-related requests, as needed.
- Assume additional responsibilities as requested and reviewed by Director of Community Standards.

WHAT EDUCATION AND SKILLS YOU WILL NEED
Associate’s degree
At least 3-5 years of related experience in an office or other similar environment
Ability to work independently and as a team, anticipate needs, act with sound judgment and maintain strict confidentiality in all aspects of work
Ability to prioritize and coordinate multiple tasks with frequent interruptions while meeting strict deadlines
Must have excellent grammar, composition, and proofreading skills as well as exceptional verbal and interpersonal skills
Must have excellent oral and written communication skills
Ability to effectively interface with all constituents
Must have a basic knowledge of current trends in student diversity and inclusion, particularly in regard to higher education
Must have strong organizational skills and project management skills with the ability to appropriately prioritize tasks and adjust to changing priorities
Must have strong computer skills including proficiency in Google Drive/Docs and Microsoft Office (Word, Excel, PowerPoint, Outlook/Calendar)
Ability to envision and propose new methods to perform tasks that support ET&A; take thoughtful risks; and accept new and ongoing initiatives, objectives, and solutions to gain sought-after results.
Ability to anticipate and embrace change; demonstrate willingness to achieve, acquire, and utilize new skills and challenging tasks; and is flexible in changing conditions.
HOW AND WHERE YOU WILL WORK
This is a 10-month position.
This position requires onsite work every day.
