The responsibilities of this position include support primarily to the Dean of Students, Student Affairs leadership team, Title IX and Student Conduct processes, and for the centralized operations and communication strategies related to the division. This person is entrusted with handling sensitive information that will require the utmost in confidentiality and seasoned decision making.

Required Education

  • Bachelor's degree or equivalent education and experience.

Required Experience

  • 4-6 years of executive assistant experience, university setting preferred.

Primary Duties/Essential Functions

Office of Student Affairs

  • Serves as confidential support to the Dean of Students in preparing all paperwork and forms and responding to requests and correspondence. Keeps appointment calendars for Dean of Students and Executive Director of Student Conduct/Title IX.
  • Serves as receptionist; answers and directs in-coming phone calls, including the careful handling of parent concerns, greeting students, and visitors.
  • Serves as needed to give confidential support to the Dean of Students and the Director of Student Conduct/Title IX Coordinator.
  • Provides reports, research and other tasks as needed by the Dean of Students.
  • Organizes and maintains the administrative functions of the office of the Student Affairs Administration.
  • Arranges all Student Affairs Directors' meetings, events and retreats. Coordinates and manages special program events as requested.
  • Assist the Dean of Students regarding management and monitoring of the Student Affairs budget.
  • Prepares expense reports, and purchase requisitions for the Dean of Students and the Director of Student Conduct/Title IX Coordinator.

Student Conduct/Title IX

  • Coordinates data and Title IX filing process across campus (working with IT, graduate services, HR, etc.).
  • Supports Title IX Coordinator in all facets of student notification issues, including creating and maintaining a database of student information for the purpose of tracking the status of students, as well as creating correspondence and faculty and various campus departments, including call-in letters and follow up letters when necessary.
  • Collaborates with faculty regarding academic progress for students resulting from Title IX issues.
  • Manages disciplinary procedures including the call-in process and arranging of student hearings and appeals in judicial matters.
  • May support the intake process of Title IX by meeting with students to determine a need to pursue a Title IX investigation.
  • Performs other projects as assigned by the Dean of Students.
  • Regular, punctual attendance as required by the supervisor based on department needs.

Centralized Communication

  • Marketing the core values of student affairs by creating a marketing plan.
  • Assess and create a centralized system for all incoming inquiries related to student concerns.
  • Collaborate with various offices on campus to ensure clear communication related to student affairs (i.e. values, services, policies, etc.)
  • Manages web content related to Student Affairs.
  • Creates regular communication plan to all students regarding any upcoming events, services, etc. to ensure a high level of engagement with all students.

Skills

  • Proficiency in Microsoft Office products, including Word and Excel.
  • Type 55 wpm.
  • Understand business office procedures.
  • Excellent oral and written communication skills with good command of the English language. Ability to compose, proofread, and edit correspondence.
  • Proficient in taking minutes in various meetings (including administrative team meetings, confidential student meetings, and board meetings).
  • Strong organizational, problem solving, interpersonal interaction and bookkeeping skills.
  • Able to provide exceptional customer service with a positive gracious spirit.

Mental Demands

  • Ability to work under pressure, exuding a mature demeanor while multi-tasking in a deadline oriented environment with accuracy and consistency.
  • Ability to work independently and meet deadlines.
  • Ability to work collaboratively with a team, as well as an independent contributor.
  • Ability to exercise good judgment and discretionary skills in determining when to act independently and when to consult management prior to taking action.
  • Self-starter with a positive attitude.

Physical Demands

  • Requires repetitive motions and sitting at computer keyboard; intermittent sitting and standing.
  • Hearing and speaking on the telephone.
  • Able to conduct business at other offices on campus.
  • Able to lift, bend, grasp, reach, lift up to 20 lbs. occasionally.

Visual Demands

  • Reading, writing notes, and computer monitor.

Environment

  • Pleasant office, comfortable temperature.

Technologies

  • Proficient in Google Apps., Microsoft Office, Word and Excel., mass email programs, social media programs.

Compensation

  • Grade 8: $21.44 - $24.66 is the hourly compensation for this role and reflects what Azusa Pacific University reasonably expects to pay for this position. Actual compensation may vary based on the qualifications, experience, and internal equity. In addition to compensation, APU offers a competitive benefits package .
