Position Summary
The position provides high-level administrative duties of a complex and confidential nature to support the Executive Director of the Office for International Students and Scholars (OISS). This support will have office wide implications regarding operations and both internal and external communications.


Job Description

Primary Duties & Responsibilities

  • Plans, prepares, and arranges schedules, travel, and internal and external communications. Ensures all confidential administrative and correspondence files are maintained and available as needed.
  • Responds to inquiries within the scope of responsibility using discretion and independent judgment to solve problems and resolve issues. Provides information and answers to both internal and external inquiries about OISS processes while ensuring proper administration of university policies and international student/scholar compliance with federal regulations regarding the Student and Exchange Visitor Information System (SEVIS).
  • Assists with the new hire paperwork and onboarding; assists in the preparation of all SEVP requests, including requests to add new Designated School Officials (DSOs), programs approved on WashU I-17, and paperwork required to administer the J exchange program administered through the Department of State.
  • Prepares confidential correspondence and materials for the Executive Director and senior staff; designs presentations; writes and prepares reports, communications, letters, memos, and emails.
  • Contributes to website content development and website maintenance. Maintains significant substantive knowledge of immigration regulations affecting international students and scholars. Ensures that website and other communications accurately and effectively relay regulations, OISS processes, USCIS fees, and other logistical information necessary for international students and scholars.
  • Completes administrative and immigration compliance overflow work for the entire OISS team. Tasks may include processing student immigration requests, assisting with the development of the Terra Dotta platform, drafting and editing documents, preparing correspondence and events, conducting online research, and collecting data.
  • Completes special projects as assigned.

Preferred Qualifications

  • Ability to become a Designated School Official within six months of start date, which requires a U.S. citizen or lawful permanent resident, with ability to provide proof of status, per U.S. Federal regulations.
  • Master’s degree.
  • Prior experience working with international students and or scholars.
  • Prior experience as DSO/ARO and familiarity with Terra Dotta.
  • Prior experience with website maintenance.
  • Demonstrated strong writing and editing skills.
  • Demonstrated commitment to the mission of the Office for International Students and Scholars and ability to work with individuals/groups from a variety of backgrounds.
  • Proficient in Microsoft Word, Excel, and PowerPoint.
  • Excellent communication skills and experience working with a diverse population.
  • Excellent organizational skills and discretionary judgment.


Required Qualifications

High school diploma or equivalent high school certification and five years of experience in an office or administrative support position or Bachelor's degree and two years of experience in an office or administrative support position.

Salary Range
$22.92 - $35.49 / Hourly

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
