About the Opportunity

Position Summary

Reporting to the Managing Director of Strategy, Operations & Growth, the Administrative Coordinator will be responsible for administrative support to the Chief Administrative Officer and the Managing Director of Strategy, Operations & Growth, project management for select strategic projects,  supporting VIP events and strategic initiatives as they arise, and data management and reporting.

Minimum Qualifications

  • Knowledge and skills required for this position are normally obtained through 2-4 years of experience in an administrative or related role, with a Bachelor's Degree preferred.
  • Strong organizational, communication (both oral and written), and interpersonal skills—all with a high level of attention to detail
  • Possess strong editorial and research skills, particularly the ability to skillfully complete projects under tight deadlines
  • Astute, able to perform a wide variety of tasks, able to work with confidential information, and prioritize tasks and demands
  • Work and make decisions independently, to exercise discretion and good judgment in areas of responsibility
  • Display the ability to make executive decisions quickly, communicate professionally and effectively
  • Creative, proactive, adaptive, assertive and able to work in a changing environment
  • Excellent computer skills, experience with both PCs and Macs, and advanced skills with Microsoft Office applications – Word, Excel, PowerPoint, etc.—and familiarity with mobile technology (iPhones, iPads, etc.)
  • Majority of assigned work will be conducted during standard business hours; however, it is essential that the candidate must be available for early morning, late evening, and occasional weekend work as required

Key Responsibilities:

Administrative Support

  • Manage and coordinate a high volume of demands for the CAO and MD’s time by prioritizing requests and demonstrating significant independent judgment in identifying and resolving potential conflicts.
  • Make meeting and travel arrangements, prepare itinerary and event information.
  • Conduct necessary research to prepare the CAO and MD for key events or meetings.
  • Completes a wide variety of organizational support for the CAO and MD.

Strategic Project Coordination & Support

  • Mobilizes, tracks and oversees key projects for the CAO and MD.
  • Advances and monitors progress on administrative initiatives and identifies, assigns and tracks specific assignments.
  • Reviews, tracks and ensures deadlines are met.
  • Works with the CAO and MD on managing special projects and assignments.
  • Troubleshoots problems: refers complex questions or concerns to the correct individual or department. Provides staff support for various committees; scheduling, preparing agendas, meeting minutes/notes and support materials. Organizes and initiates appropriate follow-up.

Data Management

  • Develops, manages, and updates all data regarding Institute programming including but not limited to economic impact data, portfolio tracking data, and key data to drive reporting.
