The Administrative Coordinator provides high-level administrative support to the Offices of Multicultural & Identity Programs and Religious & Spiritual Life. Specifically responsible for acting as the first point of reception in Religious & Spiritual Life, while supporting the administration, programs, and initiatives of both offices.

WHAT YOU WILL DO

General:

Responsible for office management including fielding and routing all incoming phone calls, placing office supply orders, and managing phones, printers, and copy systems.

Monitor and help maintain budgets which includes submitting expense reports and invoices through proper channels; maintaining and reconciling budgets for departmental accounts; processing financial payments; and procuring materials for workshops and activities.

Ensure all offices comply with Babson College policies and procedures.

Assist in updating and maintaining departmental websites and Hub content.

Assume additional responsibilities as requested and reviewed by Director of Multicultural & Identity Programs and/or Director, Religious & Spiritual Life.

Office of Multicultural & Identity Programs:

Assist the Director with calendar management, including scheduling of office hours; provide logistical support and documentation for regular team meetings and office programming.

Provide programmatic support and setup for major community events (i.e., welcome receptions and senior send-offs).

Assist the Director with communication to key student populations around programs and events.

Assist with the management and maintenance of the Diversity suite, including maintaining department calendar and EMS scheduling requests through EMS

Provide administrative support in managing office data and reporting.

Office of Religious & Spiritual Life:

Assist Director with the management and maintenance of Glavin Chapel and office suite (i.e., EMS reservations and approvals, restocking supplies, and policy and guidelines). 

Responsible for logistics and food orders for weekly programs, special events, materials, and other items as needed.

Provide programmatic support for campus wide events and manage various social media platforms.  

Assist Director with maintaining and updating databases and spreadsheets for departmental budgets, programs, and usage of the Glavin Chapel.

WHAT EDUCATION AND SKILLS YOU WILL NEED

Associate’s degree

At least 3-5 years of related experience in an office or other similar environment

Ability and willingness to work directly with a diverse student population across every dimension of diversity, both primary and secondary.

Ability to work independently and as a team, anticipate needs, act with sound judgment and maintain strict confidentiality in all aspects of work

Ability to prioritize and coordinate multiple tasks with frequent interruptions while meeting strict deadlines

Must have excellent grammar, composition, and proofreading skills as well as exceptional verbal and interpersonal skills

Must have excellent oral and written communication skills

Ability to effectively interface with all constituents 

Must have a basic knowledge of current trends in student diversity and inclusion, particularly in regard to higher education

Strong organizational and interpersonal skills, and must be able to maintain a high degree of confidentiality at all times

Must have strong organizational skills and project management skills with the ability to appropriately prioritize tasks and adjust to changing priorities

Must have strong computer skills including proficiency in Google Drive/Docs and Microsoft Office (Word, Excel, PowerPoint, Outlook/Calendar)

Ability to envision and propose new methods to perform tasks that support ET&A; take thoughtful risks; and accept new and ongoing initiatives, objectives, and solutions to gain sought-after results.

Ability to anticipate and embrace change; demonstrate willingness to achieve, acquire, and utilize new skills and challenging tasks; and is flexible in changing conditions.

ADDITIONAL SKILLS YOU MAY HAVE

Bachelor’s Degree preferred
