The Administrative Coordinator II is responsible for coordinating administrative support for the Department of English Undergraduate Office including responsibility for course scheduling and supervising Undergraduate Office operations. The preferred candidate will have knowledge of word processing and spreadsheet applications, interpersonal and communication skills, along with exceptional planning and organizational skills. Salary: $36,512.00 - $46,924.80 annually (based on experience)

Required Education and Experience:

  • Bachelor's degree or equivalent combination of education and experience

  • Three years of experience in office administration

 

Required Knowledge, Skills, and Abilities:

  • Knowledge of word processing and spreadsheet applications.

  • Interpersonal and communication skills.

  • Planning and organizational skills.

  • Ability to multitask and work cooperatively with others

Preferred Experience:

  • Five years administrative and supervisory experience

  • Experience at TAMU and with Compass program

  • Experience with course scheduling process

  • Three years of experience in office administration or project management including some supervisory experience

  • Excellent written and oral communication skills

  • Strong interpersonal skills

 

Responsibilities:

  • Course Scheduling - Provide administrative support to Associate Department Head for scheduling of courses including maintaining Access database, Compass and ASTRA; collaborating on course recommendations for each semester based on core requirements, major/minor needs. Schedule classes for departmental instructors. Serve as key information source on departmental scheduling. Resolve complex issues related to teaching schedules for departmental instructors. Serve as liaison with ENGL Graduate Office, CLLA Dean's Office, Registrar's Office, and other CLLA schedulers. Submit and monitor course prerequisites and course restrictions. Monitor demand for service courses and propose solutions. Raise/lower limits in all ENGL undergraduate courses. Responsible for creation of all directed studies, internship and research courses.

  • Office Support - Coordinate administrative support for the Undergraduate Office including hiring, supervising, training, and evaluating the student workers. Oversee processing of grade changes, incomplete grades, excessive absence forms, Q-drops, and directed studies application forms. Supervise maintenance of files for Undergraduate Programs including files for each English major, correspondence, courses and miscellaneous files in compliance with the University Records Retention schedule.

  • Administrator Support - Provide assistance to the Undergraduate Office administrators and the Academic Advisor. Schedule and attend Undergraduate Committee meetings. Participate in discussion of curricular and policy issues. Represent advising staff point of view in Undergraduate Committee meetings. Assist the director with recruitment activities. Attend and assist with new student conferences.

  • Scholarships - Program support for scholarship administration. Coordinate scholarship and award process assisting committee with all aspects. Maintain scholarship files and document selection process. Serve as liaison with Student Financial Aid. Prepare correspondence and apply fund in SPARTA. Perform other duties as assigned.
