Required Education:

Bachelor’s degree or equivalent combination of education and experience.

Required Experience:

Three years of experience in office administration.

Required Special Knowledge, Skills, and Abilities:

Knowledge of word processing, spreadsheet, database, and presentation applications. Interpersonal and communication skills. Planning and organization skills. Ability to multi-task and work cooperatively with others.

Job Responsibilities

30%: Office Manager

Formulates, interprets, and implements management polices/ operating practices for the Office of Student Affairs.  Develops administrative and technical procedures.  Researches, interprets, compiles, and responds to inquiries about university and system rules, regulations, policies, and procedures. Coordinates the maintenance of office supplies and equipment.  Makes recommendations for process improvements, administrative changes, or new initiatives. Assists in the room reservation process, Aggie Ring Orders, and Football ticket disbursement.

20%: Fiscal Support

Assists in development of the budget.  Analyzes various programs and initiatives particularly with regard to budgetary/ logistical concerns.  Monitors project timelines and identifies issues.  Performs special analyses and project summaries, particularly of a budgetary nature.  Prepares operational and special reports.  Coordinates office records retention and maintains office references and resource materials.  Manages financial aspects of Student Affairs and all recognized student organizations to include Purchase Orders (Aggie Buy), Purchase Card Reallocations, corrections, and quarterly reports. Monitors and processes Student Affair contracts.

20%: Administrative Support

Coordinates administrative support functions for four offices (Chief Student Affairs Officer, Student Activities, Student Diversity Initiatives, and Responsible Citizenship).  Participates in the planning and execution of various administrative operations while serving as the officer manager. Monitors, develops, evaluates, and ensure adherence to office procedures.  Keeps CSAO’s calendar.  Prepares, reviews, and recommends signatures documents for CSAO and various Department Heads.  Coordinates travel arrangements and prepares itineraries for CSAO and three Department Heads.  Plans and coordinates meetings, seminars, and other special events.

20%: Administrative Management

Adapts, combines and makes improvements to services, processes, or programs within the Office of Student Affairs. Formulates, interprets, and implements management polices/ operating practices for the Office of Student Affairs.  Attends meetings or committees on behalf of CSAO. HR Liaison for Workday for hiring and related position management duties.

5%: Supervisor

Supervises, trains, and evaluates the work of others.  Assigns tasks and evaluates progress for up to five student workers.  Trains and directs other subordinate staff in related departments.

5%: Other Duties

Performs other duties as assigned.
