What We Want

We are seeking an Administrative Coordinator II who will provide administrative support for the Office of the Vice President for Research as well as the Council of Principal Investigators Coordinator, and limited support to the Research Infrastructure team. The incumbent must be able to exercise discretion and independent judgement with respect to matters of significance. The preferred candidate will have a bachelor’s degree, three years of related experience in event management, administrative support, managing calendars, and customer service experience. We are looking to hire a candidate who is a team player and who will promote collaboration and cooperation while leading and working within a team. Salary: Compensation will be commensurate based on selected hire's experience.

Qualifications

Required Education and Experience:

  • Bachelor’s degree and three years of related experience.

Required Knowledge, Skills, and Abilities:

  • Knowledge of word processing, spreadsheet, database, and presentation applications.

  • Ability to multitask and work cooperatively with others.

  • Interpersonal and communication skills. Planning and organization skills.

Preferred Qualifications:

  • Event management or support experience.

  • Customer service experience.

  • Calendar management.

Responsibilities

  • Administrative Support- Provides administrative support to the Office of the Vice President of Research (OVPR). Provides front-office reception services, greeting visitors and guests, manages phone calls to the OVPR main line. Coordinates and monitors OVPR guest parking spots. Provides back-up support as needed for the Senior Administrative Coordinator/Executive Assistant to include VPR calendar support, document processing, travel arrangements and other projects as assigned.

  • CPI Support- Provides administrative support to Council of Principal Investigators (CPI) Coordinator.  Includes communications with this community, meeting coordination, back-up to CPI Coordinator in facilitating in-person or Zoom meetings as required.

  • Events Coordination- Under direction, provides event support to meetings, workshops, and office or division events.

  • Research Infrastructure Administrative Support- Limited administrative support to Research Infrastructure team, which includes contract administration, billing, email activity, communications with Research Infrastructure AVPR and Research Infrastructure Manager.

  • Processing of Supply Orders/Misc. Facilities- As directed, processes work orders, supply orders, handles billing orders. Maintains records. Performs other duties as assigned.
