The Health Science Center (HSC) is looking for an administrative coordinator II to serve as a member of the College of Medicine Business Affairs team. Job Description Summary: The Administrative Coordinator II coordinates and facilitates the processing of contracts on behalf of the Texas A&M University College of Medicine (COM). Primary duties include creating, reviewing, tracking, and routing COM contracts. Other responsibilities include, but are not limited to, providing administrative and logistical support for events, meetings and other special functions and managing travel and supply purchases for the Office of Business Affairs and Round Rock Campus Administration.

Required Education:

  • Bachelor's degree or equivalent combination of education and experience

Required Experience:

  • Three years’ experience in office administration.

Required Special Knowledge, Skills, and Abilities:

  • High energy, self-starter who possess the ability to work under deadline pressure.

  • Ability to work in a high-volume environment.

  • Strong organizational skills.

  • Strong verbal and written communication skills.

  • Working knowledge of database, spreadsheet, presentation and word processing software programs.

  • Ability to multi-task and work cooperatively with others.

Preferred Education:

Bachelor’s degree

Preferred Experience:

  • Experience working with diverse individuals and communities.

  • Two years’ experience managing contracts.

Preferred Licenses and Certifications:

Preferred Special Knowledge, Skills, and Abilities:

  • Experience in education administration and/or coordination.

Job Responsibilities:

Contract Administration

  • Create, review, track and route contracts on behalf of the College of Medicine (COM), interaction with colleagues, professional communication to third parties, and support in the intermediary functions with COM administration, Texas A&M University Health Science Center (HSC) and Texas A&M University (TAMU) personnel.

  • Enter contracts and associated amendments into contract database.

  • Audit contract database information against contracts to ensure consistency.

Contract Reporting

  • Maintain accurate records within the access contracts database, network drive, the aggie buy contract management system and laserfiche folders.

  • Responds to inquiries regarding COM contracts.

  • Effectively communicate and distribute actionable information, analyses, and insights to appropriate internal and external audiences.

Administrative Support

  • Coordinate administrative support functions for the Office of Business Affairs and Round Rock Campus

  • Administration.

  • Coordinate the maintenance of office supplies and equipment.

  • Make recommendations for process improvements, administrative changes, and new initiatives.

  • Provide administrative and logistical support for events, meetings and other special functions.

  • Coordinate travel arrangements and prepares itineraries when necessary.

  • Prepare forms and receipts for supply and travel purchases.

  • Provide oversight for COM vehicles on the Round Rock Campus (scheduling, maintenance, vehicle log books, and reconciliation of mileage).

Other Duties

  • Performs other duties as assigned.
