The Department of Music Activities serves over 1300 students each year and offers them opportunities to participate in a wide variety of musical activities while allowing members time for their studies and other interests. The Administrative Coordinator II, serves as the central coordinating point for the Choral Activities Office by providing daily oversight of all office functions and student assistants. This position serves as secondary advisor to all choral groups. This position coordinates all performances (125 plus annually) including travel arrangements for all choral groups. The exciting thing about this position is that it works with non-music majors who are committed to making music a part of the remainder of their college career because they want to have that experience.  We need someone who is committed to the overall growth of Music Activities as well as individual growth of students. The selected candidate will subscribe to and support our commitment to Inclusion, Diversity, Equity and Accountability (IDEA) as stated above. What you need to know

S alary Range : $36,51200 - $46,924.80 depending upon select hire's experience.

Required Education and Experience:

  • Bachelor's degree or equivalent combination of education and experience
  • Three years of experience in office administration or project management including some supervisory experience

Required Knowledge, Skills, and Abilities:

  • Working knowledge of spreadsheet, presentation and word processing software programs
  • Interpersonal and communication skills and ability to plan and organize effectively
  • Ability to multi-task and work cooperatively with others.

Other Requirements or Other Factors:

  • Ability to work some nights and periodic weekends as needed with the choirs

  • Additional administrative and supervisory experience

Responsibilities:

  • Travel Coordination and Advising of Choral Groups - Serve as a secondary advisory to all choral groups. Coordinate 125 plus travel logistics and performances per year. Schedule concerts and other related events. Set up yearly ticket sales through the MSC Box Office. Coordinate the preparation of concert programs. Coordinate the distribution of performance publicity. Travel with the related groups for off campus performances or tours to include international tours as requested by the Director of Choral Activities. Back up signer for SOFC accounts for choral groups / student organizations.  Coordinate former choral members reunions and tailgates.
  • Office Manager - Creation & maintenance of office files. Coordinate department records management Maintain office supplies and equipment Serve as liaison for departmental equipment and service contracts. Apply, interpret and communicate university policies and procedures and serve as a resource for such. Train staff and students on new and existing business, personnel, and travel policies in collaboration with the Vice President of Student Affairs business office. Maintain keys and parking permits Control and regularly update access to building lock and security system. Schedule and coordinate vocal auditions for incoming students. Responsibility for department cash handling activities. Coordinate department purchasing activities. Approver and back-up signer of SOFC accounts. Coordinate fiscal activities of the department with little direct supervision. Serve as liaison with Financial Management Services, Purchasing, Student Affairs, and other necessary departments to achieve department business.
  • Administrative Assistant to the Director - Assist Director as needed Calendaring Attend meetings on behalf of the director Keep meeting records and prepare memos Coordinate logistics for department staff including the negotiation of contracts for director s review & prepare yearly travel reports Coordinate yearly recruiting mail out Prepare necessary correspondence, to include donors.
  • Supervision -Direct supervisor of 6 plus student workers who manage the front desk of the Music Activities Center. Performs other duties as assigned.
