Job Description

The Administrative Coordinator II, will provide administrative support to TEES Engineering Research Development Services (ERDS). Coordinate, prioritize, and perform administrative activities, including calendars and schedules, planning and logistical support for meetings and events. Serve as the point of contact in greeting guests and answering phones, assist with establishing contact and meetings with clients as needed. Assist with budgeting and making travel arrangements and payments. Assist with allocating tasks and tracking progress. Performs related duties as assigned.

Responsibilities:

  • Provide Administrative support to Engineering Research Development Services (ERDS).
  • Maintain calendars and schedules; schedule and perform logistical and administrative support for meetings, events, and projects; and track action items, assignments, and progress.
  • Prepare correspondence, edit and format documents for presentation and submission. Provide other assistance, including organization assistance and performing business-related errands.
  • Coordinate administrative tasks and logistics related to workshops, meetings, and conferences, such as reserving locations, food, as A/V equipment.
  • Assist processing vendor and travel payments.
  • Assist ERDS with establishing contact and meetings with potential clients, and follow up with clients regarding technical assistance, plan and coordinate meetings and events.
  • Assist with administration and preparation of annual budgets. Track expenses to budget for assigned projects.
  • Plan and make travel arrangements including scheduling, reservations, submission for approval, coordination with the travel office, and preparation of travel requests and reimbursements.
  • May supervise student workers by coordinating schedules and daily duties/assignments.
  • Perform other related duties as required.

Required Education:

  • Bachelor's degree or equivalent combination of education and experience.

Required Experience:

  • Three years of related experience.

Preferred Experience:

  • Supervisory experience.
  • Event planning experience.
  • TAMU/TEES administrative experience.
  • AggieBuy, Canopy, pCard/tCard etc.

Knowledge, Skills, and Abilities:

  • Knowledge of word processing, spreadsheet, database, and presentation applications.
  • Ability to multitask and work cooperatively with others. Interpersonal and communication skills.
  • Planning and organization skills.
