As one of the fastest-growing academic health centers in the nation, the Texas A&M University Health Science Center encompasses five colleges and numerous centers and institutes working together to improve health through transformative education, innovative research and team-based health care delivery. The Texas A&M Clinical Learning Resource Center (CLRC) trains and educates students with the latest tools and technology in a simulated clinical environment. The CLRC is essential to the training of medical, nursing, pharmacy, and public health students and practitioners across the state. A staff of educational and clinical experts carefully construct scenarios in a simulated clinical environment designed to expose students to situations they will encounter in practice. The CLRC’s Standardized Patient Program and innovative Teaching Associate Programs are at the forefront of national standards for medical education. Multiple national and international studies have proven the value of simulation in greatly reducing the risk of harm to future patients.

The Health Science Center (HSC) is looking for a Administrative Coordinator II to serve as a member of the Clinical Learning Resource Center (CLRC) team. Job Summary: The Administrative Coordinator II works under general supervision and coordinates administrative support for the CLRC and specialized activities to include the exercise of discretion and independent judgment with respect to matters of confidentiality and significance for the CLRC in their work with multiple entities.

Required Education:

  • Bachelor's degree or equivalent combination of education and experience.

Required Experience:

  • Three years of related experience.

Required Special Knowledge, Skills, and Abilities:

  • Knowledge of word processing, spreadsheet, database and presentation applications. 
  • Knowledge of basic accounting practices.
  • Ability to multitask and work cooperatively with others. Interpersonal and communication skills.
  • Planning and organization skills.

Preferred Experience:

  • Prior experience with Microsoft Office products and forms creation. Experience working with diverse individuals and communities.

Preferred Special Knowledge, Skills, and Abilities:

  • Intermediate level database skills.\

Responsibilities:

  • Participates in and coordinates administrative support functions.
  • Plans and coordinates administrative activities and services for multiple campuses.
  • Participates in the planning and execution of administrative operations for multiple campuses.
  • May serve as the office manager.
  • Monitors office procedures.
  • Develops, evaluates, and ensures adherence to office procedures.
  • Coordinates office records retention and maintains office references and resources materials.
  • May assist in the development and maintenance of budget.
  • May supervise, train, and evaluate the work of others.
  • May attend meetings or committees on behalf of supervisor and maintain minutes for various meetings.
  • Analyzes program, project or initiatives.
  • Monitors project timelines and identifies issues.
  • Adapts, combines, and makes improvements to services, processes, or programs.
  • Formulates, interprets, and/or implements management policies or operating practices.
  • Researches, interprets, compiles, and responds to inquiries about rules, regulations, policies and procedures.
  • May monitor compliance with policies and procedures.
  • Performs special analyses and project summaries.
  • Prepares and reviews operational and special reports.
  • Manages CLRC calendars, allocated room utilization and tracks room utilization.
  • Processes event requests and schedules resources using software.
  • Accurately prepares, reconciles and processes invoices for the department.
  • Coordinates the maintenance of office supplies and equipment.
  • Coordinates travel arrangements and prepares itineraries.
  • Plans and coordinates meetings, seminars, and other special events.
  • Performs other duties as assigned.
