What we want

The Administrative Coordinator II provides primary administrative support to the Global Engagement Leadership Team.  This position reports directly to the Operations Manager and includes supporting administrative efforts for assessment, data analysis, and diversity initiatives.  Supports a variety of programsand serves as backup for administrative functions for Global Engagement including inventory, accounting/billing/payroll, and student employee supervision.  Coordinates with other offices, faculty, and vendors to execute duties.  Works with other administrative staff related to continuous improvement of administrative processes and procedures. Assists with international and domesticcontract tracking and retention.

Required Education and Experience:

  • Bachelor's degree or equivalent combination of education and experience

  • Three years of administrative experience.

Required Knowledge, Skills and Abilities:

  • Ability to multitask and work cooperatively with others.

Preferred Experience:

  • Experience managing multiple calendars

  • Experience with contract tracking

  • Experience with data analysis

Responsibilities


  • Administrative Support   - Provides administrative support for the Global Engagement leadership team including drafting and responding to correspondence, prioritizing work responsibilities and duties, coordinating and monitoring action items and assignments, maintaining calendar and scheduling, assisting with monitoring with budget expenditures,travel and expense reports in CONCUR, researching issues, gathering information, and providing support for committees, meetings, and special functions.  Plans and coordinates logistical and administrative support for events, meetings or other special functions and provides on-site support. Reviews administrative practices and programs and assists in formulating policies. Communicates policies, procedures, standards, and methods. Responds to inquiries, resolving problems or inquiries.  


  • Program/Project Coordination   - Provides support for projects and programs for the GE Leadership Team. Provides primary administrative support for Community of Respect both virtual and face to face iterationsand builds Canvas courses. Provides administrative support for Global Engagement including contract coordinationsupport, developing and implementing Qualtrics surveys and reports, and data analysis. Assist with implementation, process design and documentation of domestic contract management processes within Maestro and AggieBuy Manage and coordinateinternational flag reservation services including 1) inventory; 2) maintenance; and 3) flag reservation calendar.  


  • Administrative Team Support   - Work closely with senior support staff in the division to coordinate issues related to the office.  Serve as back-up for other leadership administrative staff. Provides technical guidance and advice on administrative matters to agency executives, management, or staff.  


  • Research Coordination   - Researches, collects, compiles, and disseminates information for GE leadership related to activities, operations, programs. Performs other duties as assigned.
