Job Description

The Administrative Coordinator II, provides administrative operational support to six different programs residing within the Workforce Development Suite as it relates to the day-to-day functions of the office. Coordinate, prioritize and perform administrative activities, supports the production of correspondence / documents, group mailings, and accuracy of final documents prepared by Associate Director for Operations. The Administrative Coordinator demonstrates a high level of professionalism and discretion when communicating, interacting and assisting the staff in support of projects, functions and operations of the Office. Reporting to the Associate Director for Operations.

Responsibilities:

  • Coordinates administrative support functions. Supports Workforce Development team by providing ongoing database support, and analyzing requirements for projects and initiatives. Plans and coordinates administrative activities and services. Participates in the planning and execution of administrative operations, identifies issues and makes improvements to services, processes, or programs.
  • Assist in the development of policies, procedures, and guidelines for Workforce Development. Develops, evaluates, and ensures adherence to office procedures. Assists with monitoring online training compliance for Workforce Development.
  • Formulates, interprets, and/or modifies management policies or operating practices. Researches, interprets, compiles, and responds to inquiries about rules, regulations, policies and procedures. May monitor compliance with policies and procedures.
  • Serves as point-person / liaison for office computer and technology needs; conducts research as needed for meeting briefings and other special events; maintains centralized electronic files for Workforce Development.
  • Responsible for coordination and follow through of Workforce Development maintenance issues and coordinates with building proctor, as needed.
  • Performs special analyses and project summaries. Assists in the preparation and maintenance of budgets and other documents. Prepares and reviews operational and special reports. Coordinates office records retention and maintains office references and resources materials.  
  • Coordinates travel arrangements and prepares itineraries for Workforce Development staff. Plans and coordinates meetings, workshops, seminars, and other special events.
  • Coordinates the maintenance of office supplies and equipment. Makes recommendations for process improvements, administrative changes, or new initiatives. Responsible for coordinating space inventory and computer inventory with direct supervisor.
  • Coordinates specialized program communications and marketing materials.
  • Supervise, train, and evaluate the work of student assistants. Assigns tasks and evaluates job progress.
  • Performs other duties as assigned.

Required Education:

  • Bachelor's degree or equivalent combination of education and experience.

Required Experience:

  • Three years of related experience.

Knowledge, Skills, and Abilities:

  • Knowledge of word processing, spreadsheet, database, and presentation applications.
  • Ability to multitask and work cooperatively with others.
  • Interpersonal and communication skills.
  • Planning and organization skills.
