The Health Behavior Administrative Coordinator II is responsible for providing routine administrative support to the department and research center faculty, staff, and students and works under the general supervision of the Senior Administrative Coordinator II. Assists with the day-to-day operations within the department.

Required Education and Experience:

  • Bachelor's degree or equivalent combination of education and experience

  • Three years of related experience in office administration

Required Knowledge, Skill, and Abilities:

  • Knowledge of word processing, spreadsheet, database, and presentation applications

  • Ability to multitask and work cooperatively with others. Interpersonal and communication skills

  • Planning and organization skills

Preferred Experience:

  • Office support experience in higher education, knowledge of document creation software (such as Adobe Acrobat), knowledge of teleconferencing (such as Zoom), and efficient Microsoft Office suite skills (such as Outlook: email, calendaring, web browsing, and task managing)

Preferred Knowledge, Skills, and Abilities:

  • Ability to cultivate and maintain professional working relationships with people of diverse backgrounds


Responsibilities:

  • Administrative Office Support - Performs responsibilities in support of the department including but not limited to coordinating the maintenance and purchasing of office supplies and equipment, maintains office reference materials including online office materials, delivers and picks up documents, supplies, equipment, or materials. Participates in the planning and execution of administrative operations. Monitors office procedures. Develops, evaluates, and ensures adherence to office procedures. May assist in the development of budget. Provides general information and referrals, and schedules appointments, reserve visitor parking. Receives, sorts, and routes mail and performs other mail services.

  • Administrative Faculty & Staff Support - Formulates, interprets, and communicates policies and procedures and serves as a resource for answering questions regarding policies. Coordinates arrangements for meetings, student events, workshops, and travel. Performs data entry and retrieval and maintains data files. Reviews and signs documents for supervisor. Attends meetings or committees on behalf of supervisor. Prepares and proofs materials for reports and other publications. Processes reimbursement requests through the appropriate channels and follow through to completion. Assists faculty with travel and purchasing.

  • Event Coordination & Planning - Coordinates the planning and managing of events of varying sizes related to the department. Performs special analyses and project summaries. Prepares and reviews operational and special reports. Coordinates office records retention and maintains office references and resources materials. Coordinates travel arrangements and prepares itineraries. Plans and coordinates meetings, seminars, and other special events .Providing support at on-campus and off-campus events including event set-up and registration check-in. Liaising with faculty, staff, students, and others concerning their participation in events. Performs other duties as assigned.
