Job Description

This position is responsible for coordinating administrative support and duties for the College of Agriculture and Human Sciences - Cooperative Extension Program (CEP) and will report directly to the Executive Associate Director.


Responsibilities:

  • Maintains office calendar to coordinate work flow and meetings for the Executive Associate Director. Prepares agendas and minutes of meetings.

  • Coordinate with the department program and support units on tasks and deliverables needed: Information and Impact Center, Human Resources, Agro-Innovation and Technology, Facilities and Fiscal.

  • Participates in the planning and execution of administrative operations. Monitors office procedures. Develops, evaluates, and ensures adherence to office procedures. Assists in the resolution of complex, highly sensitive and confidential administrative matters.

  • Serves as the primary point of contact for the administrative support functions. Plans and coordinates administrative activities and services. Participates in the planning and execution of administrative operations. Monitors office procedures and recommends any improvements necessary for these procedures.

  • Manages the office calendar for the building and building staff.

  • Reviews and signs documents for supervisor. Attends meetings or committees on behalf of supervisor.

  • Analyzes program, project, or initiatives for the Cooperative Extension Program. Monitors project timelines and identifies issues. Adapts, combines, and makes improvements to services, processes, or programs.

  • Formulates, interprets, and/or implements management policies or operating practices. Develops administrative and technical procedures. Researches, interprets, compiles, and responds to inquiries about rules, regulations, policies and procedures. May monitor compliance with policies and procedures.

  • Performs special analyses and project summaries. Prepares and reviews operational and special reports.

  • Coordinates office records retention and maintains office references and resources materials.

  • Coordinates travel arrangements and prepares itineraries. Plans and coordinates meetings, seminars, and other special events. Attends meetings or committees at the supervisor’s discretion.

  • Coordinates the maintenance of office supplies and equipment. Makes recommendations for process improvements, administrative changes, or new initiatives.

  • Supervises, trains, and manages student employees. Manages the front office and desk area to ensure there is physical presence at all times.

  • Participates and assists in all college-wide events as needed.

  • Other duties assigned.

Required Education and Experience:

  • Bachelor's degree or equivalent combination of education and experience.

  • Three years of related experience.

Required Knowledge, Skills and Abilities:

  • Knowledge of word processing, spreadsheet, database, and presentation applications.

  • Ability to multitask and work cooperatively with others. Interpersonal and communication skills.

  • Planning and organization skills.

Special Requirements:

  • Applicants with equivalent experience in lieu of a Bachelor’s degree may be considered. One year of the related experience is the equivalent of one college year. Applicants being considered for the equivalency must have four years of related experience to meet the equivalency in lieu of a Bachelor’s degree plus the minimum required years of experience. Applicants being considered for the equivalency must have a total of seven years of experience.
