Job Summary

Responsible for administrative support of the department’s clinical education mission. Provides administrative assistance to the director (DCE) and assistant director of clinical education (ADCE). Coordinates all administrative operations for Drexel’s Doctor of Physical Therapy (DPT) clinical education program. This includes management and oversight of several large, mission essential databases: information on 800+ clinical sites and 1200 clinical staff, compliance records for all students and compliance requirements for each clinical placement site, and our student and clinical instructor assessment system (thousands of records). Coordinates clinical contract generation, renewal, and monitors these contracts in conjunction with the college compliance office, Drexel legal counsel, and risk management. Assists in the recruitment of new clinical sites and the clinical placement of ~200 students a year. Responsible for compiling outcomes data and writing reports on clinical education for administrative officers and accreditation (CAPTE). Assists the department chair and DCE with strategic development including new clinical partnerships, clinical educational programming, and other initiatives. Serves as a secondary administrative coordinator for admissions, recruitment, and marketing. Assists the department’s social media and web presence. Provides additional administrative support to the department and health sciences division as needed.

Essential Functions

  • Database Management and Analysis
    • Manages the department’s clinical education database, which currently consists of over 800 sites and 1200 clinical instructors (preceptors) and site coordinators.
    • Creates and administers program surveys. Compiles and creates reports.
    • Provides data and creates professional reports as needed.
    • Manages databases associated with student and clinical instructor assessment using the PT-CPI/Web portal; ensures timely completion of assessments.
  • Administrative
    • Provides administrative support to the director of clinical education and assistant director of clinical education and coordinates all administrative clinical education operations for Drexel’s DPT program.
    •  Assists the director of clinical education with recruitment of new clinical sites and development of clinical partnerships.
    • Assists the director of clinical education with placement of all students (~200/yr).
    • Timely completion and renewal of clinical site contracts through routine monitoring and collaboration with Drexel legal counsel, CNHP operations, and clinical sites.
    • Coordinates and maintains student compliance and student compliance records for ~200 DPT students and each clinical placement.
    • FSBPT set up and assist with graduation clearing.
    • Educates and answers staff, clinical instructor, and student questions on the use of clinical education web portals including by not limited to Exxat and PT-CPI/Web.
    • Updates and prepares the DPT programs’ clinical education manuals annually in collaboration with the director and assistant director of clinical education.
    • Serves as a primary source of communication between the DPT program, clinical sites, clinical instructors, and students placed at clinical sites.
    • Schedules clinical education site visits and makes travel arrangements for the director and assistant director of clinical education and other faculty as needed.
    • Serves as a secondary administrative coordinator for admissions, recruitment, and marketing. Key tasks include applicant screening via the PTCAS system, admissions committee support, meets with prospective students, attends DPT and graduate program recruitment events, plans applicant interview dates, serves as a liaison to enrollment management, and other tasks as needed.
    • Provides additional administrative support to the department and health sciences division as needed.
    • Performs other duties as assigned by supervisor/s.
  • Marketing/Social Media
    • Assists with the department’s social media and web presence, i.e., web pages, news, Facebook, Twitter, LinkedIn, Instagram, and other sites.

Required Qualifications

  • Bachelor’s Degree or Equivalent in Higher Education Administration, Higher Education Development, Business Administration, Marketing, or a degree in a related field
  • 2 Years of progressive experience in a university administrative position that involves managing data, contracts, and business operations, communication with leaders and stakeholders, problem-solving, and handling a range of tasks each day.

Preferred Qualifications

  • Master's degree preferred
  • 3-5 years experience preferred
  • Skills/Abilities:
    • Proficiency in Microsoft Office 365 software: Word, Excel, Outlook, and Teams.
    • Proficiency with common social media platforms: Facebook, Twitter, and LinkedIn.
    • Ability to quickly learn and integrate web-based business software such as our Exxat/Prism database, the PT-CPI/Web assessment platform, the PTCAS admissions platform, data visualization and data mining tools such as Tableau, NVIVO, SAS, and other software platforms. 
    • Excellent interpersonal, analytical, verbal and written communication skills.
    • Ability to work productively with minimal supervision.

Additional Information

This position is classified as Exempt, grade I. Compensation for this grade ranges from $41,120 - $61,680 per year. Please note that the offered rate for this position typically aligns with the minimum to midrange of this grade, but it can vary based on the successful candidate’s qualifications and experience, department budget, and an internal equity review.
