Job Description Summary

The Administrative Coordinator I, under general supervision, is responsible for serving as the Corps Area Housing Office Manager and supervision of the student workers who serve the front office area as well as those assigned as Cadet Housing Officers in the Corps of Cadets dormitories. Provides direct assistance to Coordinator of Residence Life for Corps Area Housing Office.

Required Education and Experience:

  • Bachelor's degree or any equivalent combination of education and experience.

  • Two years' experience in office administration or project management.

Required Knowledge, Skills, and Abilities:

  • Working knowledge of spreadsheet, enterprise database, presentation and word processing software programs.

  • Excellent interpersonal and communication skills and ability to plan and organize effectively.

  • Ability to multi-task and work cooperatively with others.

Preferred Experience:

  • Full time work experience in an office at a college/university. Full-time work experience in student housing.

Preferred Knowledge, Skills, and Abilities:

Responsibilities

  • Office Management - Serves as Corps Housing Office Manager. Supervises front office operation. Supervises student workers assigned to the front office and student workers assigned as Cadet Housing Officers to the Corps dormitories. Serves as immediate supervisor to respond to customer service issues. Supervises daily administrative operations of the Corps Area Housing Office to include but not limited to opening and closing of office, ensuring confidential information is secured properly, on-going training related to cadet assignments, room checks and resignations. In conjunction with student workers, provides administrative support to the Coordinator of Residence Life (Corps Housing) as needed and requested. Assists in coordination of and provides customer service to the summer camps and conferences assigned to buildings on the Corps Quad.  

  • Housing Assignments - Manages Cadet room assignment process/procedures and oversees proper entry of information into the Residence Life Housing database as it relates to occupancy of Corps dormitories. Serves as immediate contact and liaison to the Housing Assignments Office related to building occupancy, room assignments and Cadets leaving the Corps. Supervises and coordinates staff assigned to housing resource table for new student conferences and transfer conferences, freshman orientation week and spring orientation week. Serves as immediate supervisor for on-site housing inquiries including application process and payment of application fee. Assists the Coordinator of Residence Life (Corps Housing) in creating check-in and check-out processes for the Cadets. 

  • Supervision - Recruits, hires, trains, supervises and evaluates student workers. Creates work schedules for student workers. Reviews timesheets submitted to verify accuracy of hours reported. Coordinates timesheet submission and completion of the required workplace trainings by the student workers. Performs annual reviews during the annual evaluation period. Serves on department, division, and university committees. Advances the philosophy of multiculturalism and actively promotes diversity and the uniqueness of each individual.

  • Compliance/Safety - Serves as key and/or card access manager for the Corps Area Housing Office. Responsible for work orders related to keys and access cards as needed. Assists the Coordinator of Residence Life (Corps Housing) in maintaining accurate key and access card inventory. Creates and updates policies and procedures outlined in Department key manual. Processes charges to cadets for lost keys. Bills Cadets for damages to rooms/facilities found throughout the year and at check-out times. 

  • Communication and Reports - Prepares occupancy lists and reports as requested by the Assistant Commandant for Operations and Training and the Assistant Commandant for Logistics. Maintains constant communication with the Assistant Commandant for Operations and Trainings regarding Cadet occupancy and room assignments. Communicates directly with Cadets regarding room assignments/reassignments and move-in/move-out processes. Performs other duties as assigned.
