We are seeking an Administrative Coordinator I who will be responsible for providing administrative support for our Health Promotion programs, and the Offices of the Dean of Student Life. This includes planning and executing advanced administrative operations, maintaining student contact as it relates to supporting Health Promotion programming, and coordinating office procedures that improve our efficiency and effectiveness. This position is critical to our business operation. We envision this individual will have a competency in communication, be able to demonstrate effective project management and organizational skills and be able to preform in a dynamic environment. Salary Range: $35,600.00-$38,000.00

Required Education and Experience:

  • Bachelor's degree or equivalent combination of education and experience.

  • Two years of experience in office administration.

Required Knowledge, Skills, and Abilities:

  • Ability to multitask and work cooperatively with others.

  • Excellent written communication, analytical, interpersonal, and organizational skills.

  • Ability to work in a high stress environment.

  • Ability to work with sensitive information and maintain confidentiality.

  • Ability to work independently once given a project.

  • Knowledge of word processing, spreadsheet, database, and presentation applications.  

Other Requirements:

  • Some limited evening and weekends may be required.

Preferred Experience:

  • Experience administratively supporting a public health, health education, higher education, and/or programming unit. Five years of experience in office administration.

Preferred Licenses and Certifications:

  • "Class C" Driver's License.

Responsibilities:

  • Office Management - Provides administrative support to the Assistant Director of Student Life and six additional full time staff members. Supervises, trains, schedules, assigns tasks, and evaluates the work of student employees. Participates in planning and execution of administrative operations for Health Promotion. Develops, monitors, evaluates, and ensures adherence to office procedures. Researches, interprets, compiles, and responds to inquiries about rules, regulations, policies and procedures. Provides email, file, and calendar management and support. Fields questions over the phone and sends to office wide email accounts. Screens and refers questions from parents, students, and other visitors, and makes referrals to university offices, as needed. Maintains a variety of fiscal, administrative, and academic records, including confidential files. Coordinates daily work flow and resolution of complex, highly sensitive confidential matters. Monitors compliance with policies and procedures. Coordinates meetings, seminars, and other special events, including travel to events for set-up or other logistics. Coordinates equipment inventory for office and staff.

  • Program Management - Provides management and support for key Health Promotion services and programs. Researches and analyzes administrative requirements for programs and projects. Provides technical information regarding administrative procedures, services, or programs. Schedules, tracks, and manages the administrative functions for student sanction workshops. Assigns, monitors, and communicates completion of sanctioned programs with the Student Conduct Office. Manages Health Promotion presentation requests, tracks data, and coordinates scheduling. Consults with staff to support program administrative needs. 

  • Purchasing and Travel - Manages office supply purchases, promotional purchases as well as purchasing for events/programs. Works with business office to process purchase orders, tracks budget expenditures, and retains files related to expenses and budgeting procedures. Serves as a departmental liaison to provide support for assigned staff making travel arrangements through the Concur system.

  • Support - Represents Health Promotion and the Offices of the Dean of Student Life in relevant committees or task forces. Collaborates with stakeholders to ensure administrative support. Performs other duties as assigned.
