The Administrative Coordinator I, schedules the Commandant's meetings, arranges travel and supports other staff members in the everyday running of the office. The ideal applicant will be proficient in Microsoft word, Microsoft Excel, Power Point, e-mail, databases, multi-phone systems, Microsoft Outlook and spreadsheets with the ability to use the computer with little or no supervision and to learn new programs if required. Must be organized and self motivated. Duties require some light lifting, bending, and walking across campus for deliveries. Required Education and Experience:

  • Bachelor's degree or equivalent combination of education and experience
  • Two year's experience in office administration or project management


Required Knowledge and Skills:

  • Working knowledge of spreadsheet and word processing software programs
  • Interpersonal and communication skills
  • Keyboarding skills


Other Requirements or Factors:

  • Interpersonal and communication skills; basic planning and organizational skills, self motivated, flexible with duties
  • Ability to multi-task and work cooperatively with others
  • Light lifting and walking across campus required

Preferred Experience:

  • Seven years of experience in general office or clerical work including some supervisory experience

Preferred Knowledge and Skills:

  • Knowledge of basic computer software, Excel, spreadsheets, graphics, ability to learn programs without supervision

Responsibilities:

  • Office Management - Serve as the personal assistant to the Commandant. Maintains daily office operations within the Office of the Commandant. Develop, evaluate and ensure responsible for records management and retention. Assure the confidentiality of mail, correspondence and equipment. Create and maintain administrative databases. Provide clerical support to the Commandant and Chief of Staff. Prepare formal correspondence to cadets, parents, donors and others. Answer phone calls and responds to inquiries. Develops materials in support of the Office of the Commandant. Work closely with the Commandant's Staff to ensure continuity of services. Maintain office supplies and equipment.
  • Executive Scheduling - Maintain calendars for the Commandant and Chief of Staff. Prepare travel arrangements for the Commandant and Chief of Staff. Schedule, coordinate, and provide administrative support for the Office of the Commandant events and related Corps of Cadets activities.
  • Manage Relationships with Multiple Constituencies - Routinely interacts with commandant's staff, university faculty and administrators, and students to provide information and support for the Office of the Commandant. Supervise student workers assigned to the Headquarters of the Office of the Commandant. Other duties as assigned.
