Job Description

Provides executive level (generally Dean or other Administrator) administrative assistance through the performance of advanced and complex general office work, and assumes considerable responsibility for office management.; Work hours: Mon-Fri; 8 AM-5 PM or as work requirements indicate.

Responsibilities:

  • 25% Provides office management and administrative services in the Dean's office. Manages and maintains Warning, Probation, Suspension and Dean's List Processes. Assists with special projects in the College under the direction of the Dean and Associate Dean(s). Manages and maintains TimeTraq for Student Workers in the Dean’s Office. Manages and maintains Concur Travel, schedules and arranges travel for the Dean, Associate Dean, and Dean’s Office Staff.
  • 25% Manages and maintains Dean's calendar. Coordinates for the dean all aspects of paperwork flow and approvals under the College of Engineering.
  • 25% Orders and purchases office supplies and equipment, maintains contracts and repairs of office equipment for the Dean’s Office.Evaluates need for new/additional equipment, determines associated costs, and makes recommendations to the Dean.Composes correspondence and compiles data for special projects and reports. Ensures proper maintenance and retention of student related files, and correspondence files. Meets visitorsintheDean'sofficeandworkswithstudentswhenappropriate.Preparespurchasingactionsordocumentsfordean’sofficepurchasesandprovidesdepartmentalsupportinthisareaaswell.Coordinates inventory for the college.
  • 10% Supervising function: Interviews, hires and supervises student workers. Provides direction to departmental/divisional administrative assistant as needed. Performs other duties as assigned.

  • 10% Maintains receipts and completes monthly/end of year procurement card reports/logs for the dean, associate dean, and other staff within the Dean’ Office. Provides assistance to departmental/divisional secretaries on purchasing guidelines, requirements, and reports as needed. 
  • 5% Other duties as assigned by the Dean

Knowledge, Skills and Abilities:

  • Knowledge of word processing, spreadsheet, database, and presentation applications. Interpersonal and communication skills. Planning and organization skills. Ability to multitask and work cooperatively with others.

Job Qualifications

  • Education – Bachelor's degree or equivalent combination of education and experience.
  • Experience – Two years of related experience.
