Job Description: Serves as an Administrative Coordinator I for the Office of Student Affairs in the School of Nursing. Coordinates administrative support for the Associate Dean for Student Affairs and uses discretion and independent judgement on assigned projects and responsibilities to ensure smooth functioning of the units operation providing strong support of new and continuing student needs. Provides administrative support to faculty.

Required Education and Experience:

  • Bachelor degree or equivalent combination of education and experience.

Required Knowledge, Skills and Abilities:

  • Knowledge of word processing, spreadsheet, database, and presentation applications.
  • Interpersonal and communication skills.
  • Planning and organization skills.
  • Ability to multi-task and work cooperatively with other.
  • Ability to perform all tasks and job responsibilities safely without injury to self and others in compliance with A&M System and HSC guidelines.

Preferred Qualifications: Bachelors degree.

  • Two years of related experience.
  • Two years in office administration.
  • Three years in higher education.
  • Ability to problem solve and oversee logistics of multiple projects.
  • Experience working with diverse individuals and communities


Responsibilities:

  • Coordinates and provides logistical and administrative support.
  • Directs new student processes to Include: background checks, uniform orders and try-on days, orientation packets, master rosters, flies, etc.
  • Creates and maintains new student Information guides; ensures student compliance documentation to Include: immunizations, certifications, background checks, drug screening, etc.
  • Maintains Project Nurse database
  • Coordinates prospective student information session registration process, parking, and communications; serves as parking office liaison for the office
  • Oversees marketing budget and Inventory of promotional items and recruitment publications
  • Serves as an information resource on administrative operational methods and processes for the office.
  • Participates in the planning and execution of administrative operation for the Office of Student Affairs including scheduling appointments and meetings, drafting communications for both internal and external use, attending meetings and committees, recording minutes, travel arrangements; maintains confidential files( both electronic& paper)
  • Keeps track of current student enrollment numbers/changes
  • Performs advanced word processing and data management activities
  • Responds to non- routine information requests as appropriate
  • Runs office errands
  • May represent supervisor at meetings or committees
  • Serves as a personal assistant to the Associate Dean for Student Affairs.
  • Plans and organizes new student' Scroll Ceremonies' twice a year; works directly with Associate Dean in the planning and implementation of three( 3)' Recognition Ceremonies' each year
  • Assists with student organizations to include meeting coordination, sales of promotional items, special events to include Thanksgiving Pot Luck and Family Weekend
  • Provides organizational planning and problem- solving skills.
  • Assists in management of the College scholarship process, i. e. meeting agendas, applicant database, applicant email account, selection process, secretary/ recorder for committee, and records maintenance and retention officer
  • Coordinates office record retention and ensures policies and procedures are followed and serves as the Records Coordinator for the Office of Student Affairs
  • Provides administrative support to assigned faculty; maintains current knowledge of University and College of Nursing policies and procedures
  • Other duties as assigned.
