Job Description

The Administrative Coordinator I coordinates various complex and confidential administrative support duties for the Manufacturing and Mechanical Engineering Technology (MMET) Program, as well as several named research laboratories. Trains and evaluates the work of student employees, assigns tasks and evaluates job progress, coordinates administrative activities and services relating to office procedures, special analyses, project summaries and/or compliance functions, serves as a primary information source on office support methods and processes, promotes communications between functional areas and outside units, provides guidance on preferred presentation of office communications and other materials, assists in the resolution of complex, highly sensitive and confidential administrative matters, analyzes requirements for project initiatives and coordinates and monitors action items. This individual also plans and coordinates logistical and administrative support for events, meetings, specialized activities, projects, long-term initiatives or new programs and serves as the personal assistant to the MMET Program Coordinator, as well as providing administrative support for other teaching and research faculty in that program.


Responsibilities:

  • Handles various complex administrative support duties for the MMET undergraduate and research programs. Regulates flow of visitors arriving to meet with faculty and serves as the first point of contact with all students, parents, and visitors to the MMET program on a daily basis
  • Coordinates and completes complex reports, e,g, ABET assessment reports and surveys, faculty load, faculty progress/annual review reports, course schedules, meeting agendas/minutes, etc.
  • Coordination of paperwork/documents required for hiring of graduate assistants and student workers for MMET program for submission to the business office for scheduling and processing.
  • Monitors and recommends changes in office procedures to eliminate duplication of effort and to streamline flow of operations.
  • Plans and provides logistical and administrative support for special events, faculty meetings, Industry Advisory Committee meetings and other special functions for the department and industry.
  • Prepares presentations and communication materials.
  • Administration of the MMET Program's resources to include facilities, audio/visual equipment, etc. Prepares and submits travel-related documents for the MMET faculty in the Concur E-Travel System.
  • Serves as liaison between MMET faculty with other program areas, department, college, and industry partners.
  • Other administrative/clerical duties as needed.

Required Education:

  • Bachelor's degree or equivalent combination of education and experience.

Required Experience:

  • Two years of related experience.

Preferred Experience:

  • Preferred experience within TAMU System in an administrative/clerical capacity.

Knowledge, Skills and Abilities:

  • Knowledge of word processing, spreadsheet, database and presentation applications.
  • Ability to multitask and work cooperatively with others. Interpersonal and communication skills. Planning and organization skills.
  • Advanced Microsoft Office and Visio skills.
