What we want
The Administrative Coordinator I coordinates and facilitates activities for Texas A&M School of Public Health Office of Graduate Student Services. This role provides administrative and staff support and program planning responsibilities to the Office of Graduate Student Services team members. This position provides administrative and logistical support for events, meetings, and other special functions; handles inquiries from students, faculty and staff; provides oversight of student records; supervises student assistants; and manages travel and supply purchases.

Required Education and Experience:

  • Bachelor's degree or an equivalent combination of education and experience

  • Two years of experience in office administration

Required Knowledge, Skills and Abilities:

  • Working knowledge of spreadsheet, presentation and word processing software programs

  • Excellent interpersonal and communication skills and ability to plan and organize effectively

  • Ability to multi-task and work cooperatively with others

Preferred Qualifications:

  • Five or more years’ experience in responsible management experience, preferably higher education

Responsibilities:

  • Office Management - Serves as office manager, provides administrative support for the Office of Graduate Student Services. Maintains office supplies and equipment. Prepares forms and receipts for supply and travel purchases for the Office. Monitors compliance of student records with all University, HSC, state and federal regulations. Supervises the creation and maintenance and retention of office files and records. Assists in resolving complex, highly sensitive and confidential administrative matters. May supervise, train and evaluate student assistants.

  • Event Support - Plans and provides logistical and administrative support for events, meetings or other special functions, including scholarship processing, New Graduate Student Orientation, and recruitment events, etc, Analyzes requirements for projects or initiatives, as well as creating reports, analyses and surveys as requested. Participates and/or chairs meetings for student services.

  • Administrative Support - Serves as primary contact for all inquiries received to the Office of Graduate Student Services, including information requests, scheduling prospective appointments, and management of staff calendars. Assists with website development, presentations and external communications for prospective and current students, alumni and the general public.

  • Program Support - Assists with career services. Provides administrative support to ensure the team is meeting internal timelines and programmatic goals. Performs other duties as assigned.
