Job Description

Assists management in the coordination of office support activities and provides administrative support to specialized activities or projects in the department head office. Serves as receptionist for the department and is the first point-of-contact for visitors. Resolves non-routine administrative problems; assists in the development of office procedures; organizes and supports departmental events; processes complex, confidential matters; directs the establishment of office files and records; monitors compliance with Agency and/or University policies and procedures related to the duties of this position; performs advanced word processing, desktop publishing, presentation and data management activities; other related duties as required.

Responsibilities:

  • Answers telephone, greets and directs visitors to various locations in the department and on and off campus.

  • Distributes all incoming mail to faculty and staff mailboxes. Routes all incoming faxes on departmental fax server to faculty and staff.

  • Processes all 'desk copy' book requests and all textbook orders through the TAMU Bookstore.

  • Secures review copies for textbooks that the faculty are interested in evaluating.

  • Coordinates various internal and external events such as the Graduating Senior Reception in fall and spring, university-sponsored recruitment activities, tours of facilities for other campus and high school entities and Aggieland Saturday.

  • Assists senior administrative coordinator with data processing, word processing and excel spreadsheets.

  • Procures supplies and handles orders for the departmental storeroom.

  • Assists Department Head’s calendar and helps coordinate and schedules his meetings.

  • Assists senior administrative coordinator and departmental communications personnel with the maintenance of printed materials for departmental public relations and marketing activities as it relates to the department head office.

  • Various other related clerical/administrative duties as required.

Required Education:

  • Bachelor's degree or equivalent combination of education and experience.

Required Experience:

  • Two years of related experience.
