Job Description

Purpose:

The Administrative Coordinator I provides administrative support to the Department of Electrical and Computer Engineering faculty and students. Position oversees the day-to-day operations of the department's main office.

Responsibilities:

  • Serve as main point of contact for the Department of Electrical and Computer Engineering main office by greeting and assisting visitors, answering phone, etc. as well as serving as liaison with various offices of campus, mail services, delivery services, copy machine maintenance, etc.
  • Management of the student workers and serving as the primary approver of students work hours within Workday.
  • Maintains an assortment of fiscal, administrative, & academic records which includes scanning files into Laserfiche and record retention.
  • Assist with preparations for department special events/meetings which include External Advisory and Development Council and faculty and staff meetings/retreats.
  • Assist with preparations for faculty candidate visits.
  • Assist faculty with organizing meetings and events.
  • Serving as the backup support for the Departmental Distinguished Speaker Series & Leaders & Innovators Series which includes coordinating travel arrangements for speakers, reimbursing guests for any travel expenses incurred during their visits, facilities needs for each seminar, and organizing food for the seminars.
  • Handle textbook orders, desk copy requests, and maintain inventory of textbooks, etc. check out to teaching assistants/graders. Coordination and distribution of teaching evaluations.
  • Schedule and maintain department conference rooms and operate computer and other equipment in the rooms. Maintain sign out log for conference room keys.
  • Assist faculty with travel preparations & reimbursements as needed.
  • Serve as exam proxy for some faculty.
  • Provide advanced administrative support to the various research groups as needed.
  • Assist with correspondence, schedule and coordinate meetings, workshops, etc. May be asked to assist faculty and students from other groups as needed.
  • Print business cards for faculty and staff as needed. Order department supplies, toner cartridges, and paper, as well as maintain the supply closets. May also assist in delivering, pick up, or receiving payments, documents, supplies, or materials.
  • Assist Capstone Design faculty with planning/coordination of Capstone Design Demo events.
  • Assist in the efforts of the departmental annual fundraiser which includes coordination of the mail out request.
  • Assist with department activities/meetings when needed. Assist other staff with various projects.
  • SECC department coordinator.
  • Other duties will be assigned as needed.


What we need:

  • Bachelor's degree or equivalent combination of education and experience.
  • Two years of related experience.
