Position Summary
The Administrative Coordinator performs administrative tasks that supports and contributes to the division of Academic Pediatrics’ operational success. This role will work closely with the faculty, Clinic Manager, and patients, and other staff members in order to achieve required outcomes. This role will serve as the point of contact for internal and external partners. A contributing and collaborating team player that assists in other duties as assigned.


Job Description

Primary Duties and Responsibilities

  • Provides administrative support to all Division Faculty by managing schedules, meetings, travel arrangements and reimbursements.
  • Provides administrative support to the Division Chief and Medical Director in addition to managing schedules, meetings, travel arrangements and reimbursements.
  • Coordinates interviews and on-site visits for prospective faculty.
  • Assists the Clinical Manager with new faculty and Advanced Practice Provider on-boarding.
  • Works with the Credentialing Office, Faculty Practice Plan (FPP), and other Washington University departments to maintain faculty state licenses, privileges, and additional regulatory documents.
  • Assist faculty in preparation of lecture and presentation material.
  • Attends faculty division meetings and takes minutes and distributes them following the meeting.
  • Performs the Medical Secretary III role; including patient scheduling, coordination of visit travel, visit insurance pre-certification, referrals, and authorizations, and other tasks.
  • Scans patient documents from paper and on-base, into the electronic patient record
  • Assists Clinic Manager with telecom, computer, and Epic issues. Opens and manages Service Now tickets to completion.
  • Monitors the general maintenance of the office space. Notifies maintenance and housekeeping promptly with issues and ensures completed prior to being closed.
  • Keeps track of office supply inventory for the division and places orders with external vendor.
  • Coordinates Residents rotation through Developmental Behavioral clinic with provider and residents schedule.

Preferred Qualifications

  • Working knowledge of general office equipment including Microsoft Word Office.
  • Experience in a clinic setting.
  • Experience in an academic environment. 
  • Exceptional internal, external and customer service skills.
  • Working knowledge of patient services, organizational, communication and interpersonal skills.


Required Qualifications

  • High school diploma or equivalent high school certification.
  • Two years of administrative office experience.

Salary Range
$18.91 - $29.32 / Hourly

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
