Job Description

The Administrative Coordinator provides executive level administrative assistance through the performance of advanced and complex general office work, and assumes considerable responsibility for office management; Work hours: Mon-Fri; 8 AM-5 PM or as work requirements indicate.


Responsibilities:

  • 35% Advises superiors concerning clerical performance standards and other operating problems. Meets individuals and the general public including service of all office walk-ins (students, faculty, staff and guests), handling of all mail correspondence, travel management for Dean and possibly other CHSHS employees for group travel items, processing/scheduling/supervising all student suspension, warning, probation, and override matters; preparation of the Dean's List correspondence and notifications; filing, event coordination for the CHSHS; supply acquisition for the office; supervision of office student workers; management of Dean's Office Time Traq and payroll for student workers.

  • 25% Provides executive secretarial assistance through the performance of advanced and complex general office work and assumes responsibility for office management. Advises departmental administrative assistants on operational procedures, methods and policy matters.

  • 20% Provides information pertaining to organizational procedures and policies to the Dean; processes confidential matters; prepares data for meetings.

  • 15% Performs specialized tasks requiring a high level of skill in typing as well as spreadsheet applications and manipulation of data. Preparation of reports (both written and spreadsheets), Power Point presentations, and data slides for group presentations.

  • 5% Performs all other duties as assigned by the Dean (essential functions may not include all related duties that might be performed).

Education and Experience:

  • Bachelors degree in applicable field or equivalent combination of education and experience

  • Two years of related administrative experience

Knowledge, Skills and Abilities:

  • Knowledge of word processing, spreadsheet, database, and presentation applications. Interpersonal and communication skills. Planning and organization skills.

  • Ability to multitask and work cooperatively with others.

Preferred Experience:

  • Social media skills for management of college wide social media outlets; Web page design and updating skills.

  • Administrative support experience, within a Higher Education setting, related to Allied Health programs, Medical programs, and/or Health Science programs

  • Administrative support experience, within a Higher Education setting, related to fundraising and/or development

  • 5 + years of progressive experience in an administrative support role within a high-level academic setting (College level, Academic Affairs level, Student Affairs level, etc.)
