Perimeter College is looking for a dynamic, innovative Administrative Coordinator. This position will serve as liaison to the department chair, associate chair and/or assistant chair on all communications and correspondence and first point of contact for the department's front office function. This position will support the Physical Sciences and Mathematics, Computer Science, and Engineering departments on the Alpharetta campus.

WHAT WILL YOU DO:

This position provides administrative support to the department chair(s), department administrator(s), faculty and staff including, but not limited to, answering the telephone; providing referral and navigation assistance to various university offices; copying and filing; retrieving information; preparing agendas, records and minutes; providing accreditation support; serving as drop-off point for packages; maintaining contact list, print fund and swipe card access requests; other administrative duties as designated by the department.

 

DUTIES AND RESPONSIBILITIES INCLUDE:

  • Submit and track transactions to administrative and academic services teams including, but not limited to, Panthermart transactions, PTI agreements, Vendor Invoices and Payments, Faculty Activity Portal, Foundation disbursements, faculty overload forms, etc. Includes providing support to business manager. 
  • Submit payment processing for travel expenses (e.g., travel/room/meal reservations and accommodations). Provide general guidance to faculty on the travel reimbursement process and may occasionally facilitate arrangements on behalf of department administrators.
  • Schedule and reserve meeting rooms, audiovisual equipment, and other communications media for all department staff. Coordinate college-wide space reservations with PC Facilities.
  • Assist in planning departmental, campus and college-wide meetings and special events (e.g., conferences, award ceremonies, testing sites, commencement, Faculty Development Day, Staff Development Day,).
  • Assist with emergency coordination for the department and occasionally participate in emergency preparedness meetings and activities.
  • Communicate the department's internal control policies (e.g., work order requests), deadlines (e.g., syllabi) and procedures (e.g., managing print orders) as prescribed by the department administrator(s).
  • Assist with support of the department/office website (e.g., collecting information/content, reviewing pages) and reporting updates and corrections to PR MARCOMM.
  • Collect and maintain departmental records (e.g., syllabi, academic dishonesty form, student concerns, reinstatements, end of semester grade reports).
  • Support department student organizations as needed (e.g., room scheduling, copying, travel arrangement, or information gathering) on behalf of the faculty advisor.
  • Supervise departmental student assistants (e.g., managing office schedule, assigning routine clerical tasks, running errands).
  • Attend regular departmental, campus and college-wide meetings as needed.
  • Maintain inventory of department equipment and supplies and coordinate the disposal of surplus property.
  • Serve as the department-based point of contact for reporting facilities matters; monitor department or building facilities to ensure proper functionality (e.g., doors opening properly, classrooms are accessible, power functioning, IT equipment). Report and coordinate equipment maintenance as needed (e.g., classroom computer/AV equipment, department conference room equipment) with IT.
  • Assist in training and onboarding department new hires (includes swipe card access, keys, guidance related to routine departmental administrative procedures).
  • Provide academic support to the department administrator(s) (BANNER overloads, overrides, drop/adds, registration holds, book orders, etc.).
  • Conduct and manage special projects as assigned.

Qualifications

: 

Bachelor's degree and one year administrative experience; or high school diploma or GED and five years administrative experience; or a combination of education and related experience.
