Job Description

Works under general supervision and provides administrative support for a unit or specialized activity to include the exercise of discretion and independent judgement with respect to matters of significance.


Responsibilities:

  • Assist Department Chair with all administrative needs for the department.

  • Manages the full range of business activities for the Department of Counseling, Health & Kinesiology.

  • Maintain department records including faculty office hours, load reports, overloads, reassigned time request, syllabi, textbook adoptions, low-enrolled class requests, travel requests and vouchers, independent study requests, and overload requests.

  • Schedules/coordinates appointments and meetings, screens calls and takes messages, travel arrangements for the department chair.

  • Prepares and processes time sheets, monthly payroll, and letters of appointment for department faculty.

  • Assists faculty search committees with correspondence and maintenance of files.

  • Maintains office equipment and assists in acquiring departmental supplies.

  • Develop, monitor and report on all departmental accounts & submits monthly reconciliations for accounts.

  • Maintaining departmental office supplies and purchases for department.

  • Tracking external and internal grants for the department and purchases related to grants.

  • Assist in monitoring the yearly assets for the department.

  • Oversee annual fiscal year closing for department. 

  • Serve as accountability property officer, liaison with financial, payroll and human resources, and office manager delegate.

  • Participates in hiring, training and supervising student assistants.

Required Education and Experience:

  • Bachelor's degree in related field

  • Two years of related experience

Preferred Education and Experience:

  • Master’s degree in related field

  • Experience with grants in higher education setting

  • Higher education experience

Knowledge, Skills and Abilities:

  • Knowledge of word processing, spreadsheet, database, and presentation applications.

  • Ability to multitask and work cooperatively with others. Interpersonal and communication skills.

  • Planning and organization skills.
