The University of Virginia’s College at Wise (UVA Wise) seeks a full time Administrative Coordinator to support six small academic units (the Office of Academic Affairs, the Department of Social Science, the Department of Business, Graduate Studies, the Division of Academic Enhancement and the Experiential Learning Hub, and the Center for Educational Excellence and Innovation) in daily operations and department specific projects.
The Administrative Coordinator performs both technical and complex projects as well as general clerical work in support of the day-to-day operations of six academic areas located in a single building. Additionally, this position performs advanced, diversified and confidential administrative duties requiring broad and comprehensive experience, competencies, and knowledge of organizational policies and practices. The incumbent must exercise discretion in handling confidential, sensitive, and timely information.


Responsibilities:

  • Multitasking between noted academic areas.
  • Maintaining multiple financial accounts.
  • Maintaining multiple financial accounts to include creating purchase orders and expense reports, internal and external grant budgeting, and ordering supplies.
  • Reconciling budgets
  • Front desk support
  • Answering phones and emails, ensuring that messages are forwarded and receive timely response.
  • Coordinating office calendars
  • Retrieving and distributing mail
  • Administrative Support including scheduling meetings; preparing meeting agendas and other correspondence; taking initiative for tracking and attending meetings for the purpose of recording, preparing, and distributing minutes and reports; facilities and equipment management; anticipating and preparing for leadership activity and meetings; and completing a variety of non-routine assignments.
  • In addition to the above job responsibilities, other duties may be assigned.

A bachelor's degree or higher is highly desirable, along with at least five years of relevant experience in student services. Strong writing and communication skills are essential. Candidates must be detail oriented with strong organizational skills and have the ability to manage multiple tasks in a busy environment. Experience with managing calendars and coordinating appointments is a must.

PHYSICAL DEMANDS
This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
