Administrative Coordinator, Finance and Administration

Position Summary:      

Assists with the processing of financial transactions for the Law School and provides general administrative support for the office of Business Affairs.

Position Responsibilities:

  • Assist faculty, staff, and students with the proper completion of travel expense reports and reimbursement requests
  • Enter supply orders for administrative departments and student journals into procurement system
  • Review all catering invoices, confirming correct charges and general ledger account. Maintain spreadsheet log and ensure that sufficient funding is available
  • Work with travel agents and outside vendors to book hotel reservations and assist with general travel arrangements for faculty, staff, and student journal editors 
  • Communicate with vendors regarding orders, deliveries, invoicing, and processing of payments
  • Work with Facilities staff and outside vendors, (e.g., copy machine representative, phone technician) to ensure proper functioning and maintenance of office equipment
  • Process Human Resources on-boarding documents for students, staff, and faculty members
  • Review student worker timesheets and distribute to Faculty for review and confirmation
  • Review and reconcile Business Affairs purchasing card (“p-card”) transactions on a monthly basis
  • Perform various clerical duties, including answering phones, copying, and filing
  • Assist other departments, including Special Events Office, as needed

Interfaces with almost all faculty and administration as well as many students and outside vendors.  Processes high volume of purchase orders, reimbursements, transmittals etc., involving total expenditures in excess of $3 million per year.   May supervise departmental intern.

Experience & Educational Background:

Bachelor’s degree preferred.  At least two years related experience or equivalent.

Skills & Competencies:

Excellent computer and communications skills. Excel experience required. Experience with Banner or other business software preferred.
