This position may pay more than the minimum proposed salary listed above, depending on experience and/or qualifications of the selected candidate.

Works under general supervision and coordinates administrative support for the Office of Student Services and Certification, and by extension, to the Department of Curriculum and Instruction, and the Whitlowe R. Green College of Education as a whole to include the exercise of discretion and independent judgement with respect to matters of significance.


Responsibilities:

  • Provides vital, daily support to the Director of the Office of Student Services and Certification, and by extension, to the Department of Curriculum and Instruction, and the Whitlowe R. Green College of Education as a whole, promote the dissemination of support services to all educator candidates, including enhancement of communication between the Certification Office and educator candidates, promotes the implementation of state exam reparation programs, the collection of documents for certification of candidates, and the tracking and maintenance of data required for state and federal reports, assist the Director in providing timely, high-quality communication, feedback, and general support to educator candidates and faculty.

  • Participates in the daily development, analysis, and maintenance of data, forms, and activities related to student examination preparation and support, state and federal reports, and the educator certification process for all programs in the Whitlowe R. Green College of Education. · Facilitate students' registration for the state educator examinations. Responds to student requests for access to online test preparation programs. Monitors and retrieves data from online test preparation programs. Connects with exam preparation program representatives, as needed.

  • Updates and maintains student data related to the admission to teacher education process; maintains student records and lists related to state and federal (Title II) mandated performance reports. Provides an initial review of transcripts of teacher, principal and school counselor candidates; facilitate communication between students and the Office of Student Services by setting virtual appointments.

  • Facilitates communication with the IT department regarding online services provided by the Office of Student Services and Certification (online practice exam sessions, screener testing; reviews session videos, submission of Certification Office information, forms, and announcements for web and social media posting). Facilitates Certification Office budget requests.

  • Performs other duties as assigned.

Required Education and Experience:

  • Bachelor's degree or equivalent combination of education and experience.

  • Two years of related experience.

Required Knowledge, Skills and Abilities:

  • Able to Implement day-to-day administrative procedures and processes consistent with established, University policies and systems.

  • Effective at establishing and maintaining student, office, college, state, and federal databases. 

  • Knowledge of word processing, spreadsheet, database, and presentation applications.

  • Ability to multitask and work cooperatively with others.

  • Interpersonal and communication skills.

  • Planning and organization skills.

Special Requirements:

  • Applicants with equivalent experience in lieu of a Bachelor’s degree may be considered. One year of the related experience is the equivalent of one college year. Applicants being considered for the equivalency must have four years of related experience to meet the equivalency in lieu of a Bachelor’s degree plus the minimum required years of experience. Applicants being considered for the equivalency must have a total of six years of experience.

Preferred Qualifications:

  • Skilled in Word, Excel, Power Point, Publisher, Banner, Degree Works, CANVAS, Microsoft TEAMS, and educator exam preparation program software databases.

  • Ability to quickly master new data collection and processing software.

  • Effective at facilitating Certification Office budget requests, with follow up monitoring and communication under the leadership of the Director.

  • Excellent phone, Zoom, in person, and written communicative skills.

  • Ability to work collaboratively.

  • Ability to prioritize.
