Job Description Summary:
Respiratory Care and Diagnostic Science department in the School of Health Professions seeks a detail-oriented, energetic and organized temporary Administrative Clerk to assist the Diagnostic Ultrasound program with program operations including maintaining students’ files, clinical education related processes (e.g. database management, contract management), and building relationships with program stakeholders. This person will have an important role communicating with students about program and clinical related requirements, and with clinical sites about the clinical placements. This person will also be responsible for assisting with other administrative/office management tasks including but not limited to coordinating educational events, admissions, and taking meeting minutes.

Required Qualifications  


Education: Associate's degree  


Work Experience:  Experience in Microsoft Office applications, including databases, spreadsheets, and word-processing software. 


 


Preferred Qualifications   


Education: Bachelor’s degree 


Credentials: RDMS (AB, OB/GYN) and/or RVT 


Work Experience: Two years of clinical experience as a registered sonographer in the professional sonography field

 Job Duties Outlined  


  • Assist the Program Director with operations of the Diagnostic Ultrasound program including maintenance of student files and admissions. 

  • Maintain and support Diagnostic Ultrasound program including clinical site database and tracking sheets; ongoing data entry to keep data base current; tracking requests for information, setting up basic course sessions, facilitating creation/adaptation of needed database surveys/evaluations and generating summary reports. Assist faculty with tracking student activities and electronic submissions. 

  • Timely communication with students about compliance and course related paperwork and other requirements. Be available to students as an information resource regarding the program and clinical sites. Communicate and develop relationships with clinical sites serving as primary point of contact regarding clinical site placement requests and compliance paperwork.  Appropriately triage received communication to the Program Director and/or faculty in a timely manner. Represent the program at relevant meetings and events as requested. 

  • Assist Program Director with management of affiliation agreements for preceptor sites including affiliation agreement generation, monitoring the contract signing process, tracking expiration dates, coordination with School of Health Professions contract person and mailing to preceptors. 

  • Schedules classrooms. Takes minutes at departmental and program meetings. 


  • Assist in the planning, administration, and operations of the department by managing projects, and following school and departmental policies and procedures. Supervise the organization and maintenance of departmental files and storage inventory. 

  • Assist with data collection for educational purposes (accreditation surveys, clinical education, and simulation activities). Develop and administer surveys via appropriate database; generate reports.  

  • Track scholarship requirements and communicate to faculty and students. 

  • Provide administrative support for continuing education events; submit paperwork for continuing education approval; track registration and communicate with attendees; plan event; print certificates. 

  • Works cooperatively with other department administrators. Assist with special projects and event planning.

Compensation Statement:

The pay range listed for this position is determined by our compensation program using market data and salary benchmarking. A combination of factors is considered in making compensation decisions including, but not limited to, education, experience and training, qualifications relative to the requirements of the position, and funding. At the University of Kansas Medical Center, a reasonable estimate for the starting pay range will be the minimum to midpoint of the posted range, taking into account the combination of factors listed above.
