Job Summary

Works under general supervision and provides highly advanced administrative support.

Essential Duties and Responsibilities

  • Coordinates daily office support activities and administrative interactions. Assists in the coordination of daily work flow and the resolution of complex, highly sensitive and confidential matters.  Provide organizational planning and problem solving skills.

  • Researches and analyzes administrative requirements for specific programs or projects. Provides technical information regarding administrative procedures, services, or programs.

  • Develops procedures for complex or specialized functions. Responds to inquiries and interprets rules, regulations, policies and procedures. May monitor compliance with policies and procedures.

  • Maintains a variety of fiscal, administrative, and academic records. Verifies, processes, and reviews forms, reports, tables, and other documents. Performs special analyses and project summaries.

  • Coordinates travel arrangements and prepares itineraries.  Coordinates meetings, seminars, and other special events.

  • Coordinates the maintenance of files, records, office supplies, or equipment. Makes recommendations for process improvements, administrative changes, or new initiatives.

  • May hire, train and supervise student workers and support staff.

Additional Responsibilities

  • Responsible for tracking and ensuring all Texas Commission on Law Enforcement training and certifications are completed and properly recorded for departmental employees.

  • Serves as the departmental liaison with Human Resources and Payroll.

  • Completes HR required departmental recruitment functions in Workday and ensures the interview and new hire employment paperwork is properly completed and submitted.

  • Serves as the departmental purchasing agent and liaison with Purchasing.

  • Serves as the departmental liaison with Property and Inventory Control.  Responsible for ensuring all controlled assets are accounted for at all times through proper record keeping of assigned assets.

Minimum Requirements

  • Education – High school diploma.

  • Experience – Five years of related experience.

Preferred Education and Experience

  • 2 - 3 years of experience in a higher education or law enforcement agency in a civilian or sworn role.

Knowledge and Abilities

Knowledge of:

  • Word processing, spreadsheet, and database applications.

Ability to:

  • Multitask and work cooperatively with others.

  • Excellent written communication, analytical, interpersonal, and organizational skills.   

  • Work in a high stress environment. 

  • Work with sensitive information and maintain confidentiality. 

  • Work independently once given a project.

Preferred Knowledge and Abilities

  • Standard office machines and equipment and their operation.

  • English and Spanish proficiency at a level of fluency to enable verbal and written official communication.

  • Understand the importance of and use proper telephone etiquette.

  • Must be an innovative, self-starter, and possess extensive knowledge of administrative procedures as to require little supervision.

  • Must be able to use independent judgment and make decisions within scope of responsibility.
