What you need to know

Salary Range: $40,000 to $50,000; Compensation will be commensurate to selected hire’s experience.

Required Education & Experience:

  • High school graduation or any equivalent combination of education and experience.

  • Five years of experience in general office or clerical work.

Required Knowledge, Skills, and Abilities:

  • Knowledge of word processing, spreadsheet, and database applications.

  • Ability to multitask and work cooperatively with others.

  • Excellent written communication, analytical, interpersonal, and organizational skills.

  • Ability to work in a fast-paced environment.

  • Ability to work with sensitive information and maintain confidentiality.

  • Ability to work independently once given a project.

Preferred Knowledge, Skills, and Abilities:

  • Bachelor’s Degree.

  • Ability to develop short-and long-range plans, work as a team member, independently, and without close supervision and meet deadlines and work in a shared office space.

  • Prior budget management and supervisory experience; Prior experience at assistant or higher level, supervising facilities, and creating documents and reports.

Job Responsibilities: 

Administrative Support

  • Assist the Office of Experiential Education (OEE) and staff by providing highly advanced administrative support; maintain visibility and be approachable to all students, faculty, administrators, preceptors and other stakeholders; establish and maintain a respectful environment.

  • Provide administrative assistance to OEE administrative staff; assist with scheduling, email correspondence, and mailing as necessary.

  • Provide administrative and logistical support for events and meetings by anticipating needs such as room reservations, equipment needs, various communication needs, catering orders, event signage, publicity posting including email invitations, printing and material distribution, maintenance of RSVPs, and maintenance of contact lists.

  • Handle routine correspondence with students and preceptors and other individuals without direct supervision. Be responsible for the retention and security of essential, operation, fiscal, and other records/reports for the OEE. Coordinates daily office support activities and administrative interactions. Answer telephone, take messages & ensure quality communication. Provides technical information regarding administrative procedures, services, or programs.

  • Process payment of invoices; Coordinates and maintains supplies inventory; anticipate needed supplies; place and expedite orders for supplies; verify and reconcile purchase card statements; receive and store supplies.

  • Functions as a liaison with other departments and sites in coordination with OEE.

  • Serve as supervisor for OEE student workers.

OEE Support

  • Function as a liaison with other departments and sites in coordination with the administrative staff of OEE.

  • Provides financial and administrative support by acting as Concur Travel Delegate for OEE staff; Coordinates travel and assists with expense reports, and reimbursements. Monitors department budget and expenses.

  • Take notes during OEE meetings and type up meeting minutes and agendas and distribute.

  • Assist the Associate Dean in establishing and maintaining the Inter-professional Education program.

  • Provide logistical and administrative support for RSOP affiliated residency programs as requested.

  • Assist with maintaining records, scheduling, and student completion of forms for patient care co-curricular activities.
