Job Description

Works under general supervision and provides highly advanced administrative support.

Responsibilities

  • Greets visitors, answers and screens calls, provides general information and referrals, and schedules appointments. Receives, sorts, and routes mail and performs other mail services.  

  • Applies, interprets, and communicates policies and procedures and serves as a resource for answering questions regarding policies.

  • Posts information to agency records and modifies forms or records. Performs data entry and retrieval and maintains data files. Prepares and proofs materials for reports and other publications.  Prepares, modifies, and verifies documents.

  • Serves as an approver and back-up signer of vouchers and requisitions. Reviews and approves account reconciliations.

  • Makes arrangements for meetings, appointments, conferences, and coordinates travel. Prepares travel arrangements and itineraries, and may approve and process travel reimbursements. Prepares notices or agendas for meetings.

  • May assist with getting quotes for printing and catering, etc.

  • Provides administrative support to the VP and AVP of Enrollment Management

  • Assists with purchasing for the Enrollment Management division.

  • Serves as a liaison with internal departments including but not limited to Human Resources and Purchasing

  • Plans and coordinates logistical and administrative support for events, meetings or other special functions and provides on-site support.

  • Maintains office supplies and equipment. Maintains office reference materials including online office materials.

  • May deliver, pick up, or receive cash payments, documents, supplies, equipment, or materials.

Required Education & Experience:

  • High school diploma

  • Five years of experience.

Knowledge, Skills & Abilities:

  • Knowledge of word processing, spreadsheet, and database applications.

  • Ability to multitask and work cooperatively with others.

  • Effective verbal and written communication skills.
