The Health Science Center (HSC) is looking for an Administrative V to serve as a member of the Primary Care and Population Health team. We desire an individual who subscribes to and supports our commitment as stated above. Job Summary: Works under general supervision and provides highly advanced administrative support.

Required Education & Experience:

  • High school diploma or equivalent combination of education and experience.
  • Five years of related experience.

Required Special Knowledge, Skills, and Abilities:

  • Knowledge of word processing, spreadsheet, and database applications.
  • Knowledge of health care education. 
  • Ability to multitask and work cooperatively with others.
  • Ability to work with sensitive information and maintain confidentiality.
  • Strong interpersonal and organizational skills.
  • Strong verbal and written communication skills.

Preferred Education & Experience:

  • Bachelor’s degree.
  • More than three years of administrative experience in a university or education-related position.
  • Experience assisting with an educational programs in a college or university setting.
  • Experience providing customer service in a professional office setting.
  • Experience coordinating events.
  • Two years of administrative experience at TAMU.

Preferred Special Knowledge, Skills, and Abilities:

  • Excellent customer service skills.
  • Knowledge of TAMU policies and procedures.
  • Working knowledge of TAMU software such as SSO, Concur, Workday, Aggie Buy or FAMIS.
  • Ability to use and knowledge of Adobe and Microsoft Office Suite.
  • Experience working with diverse individuals and communities
  • Plans and provides logistical and administrative support for events, meetings or other special functions. 
  • Analyzes requirements for projects or initiatives, as well as creating reports, analyses and surveys as requested.
  • Prepares and distributes minutes for faculty meetings.
  • Primary contact for all inquiries received for the head of Primary Care and Population Health, including information requests, scheduling prospective appointments, and management of staff calendars.
  • Assists with website development, presentations and external communications for prospective and current residents, alumni and the general public. 
  • Monitors compliance of staff and faculty records with all University, HSC, state and federal regulations.
  • Supervises the creation and maintenance and retention of office files and records.
  • Assists in resolving complex, highly sensitive and confidential administrative matters.
  • Prepares mid-term reviews and faculty promotion and tenure dossiers.
  • Prepares slide presentations and speech remarks.
  • Coordinate collection and compilation of faculty progress reports for the Department Head to use with faculty evaluation material. 
  • Manages an organizational system to coordinate and monitor action items, projects, correspondence and assignments and ensures deadlines are met.
  • Prepares faculty nomination packets. Prepares all functions to successfully onboard new department faculty.
  • Coordinates travel arrangements and prepares itineraries as needed.
  • Performs other duties as assigned.
