The Academic Success Center is seeking an Administrative Associate V who will assist in the coordination of office support activities and provide highly advanced administrative support for the Texas Success Initiative (TSI) Program, the Senior Associate Director and the Program Coordinator. The position will serve as contact to students, parents, faculty, and staff in coordinating compliance for students regarding the requirements for the Texas Success Initiative (TSI). The successful candidate will assist in the coordination of office support, and the resolution of complex, highly sensitive and confidential matters. The creation and maintenance of spreadsheets, room scheduling, enrolling students in developmental courses when appropriate and monitoring students coming to New Student Conferences are essential tasks. Required Education and Experience:

  • High school graduation or any equivalent combination of education and experience

  • Five years of experience in general office or clerical work

Required Knowledge, Skills, and Abilities:

  • Excellent interpersonal and organizational skills

  • Knowledge of word processing, spreadsheet, and database applications

  • Excellent written communication, analytical, interpersonal, and organizational skills

  • Keyboarding skills

  • Ability to multi-task and work cooperatively with others

  • Ability to work with sensitive information and maintain confidentiality

  • Ability to work independently once given a project

Preferred Education and Experience:

  • Bachelor’s degree

  • More than five years of experience in general office or clerical work

  • Experience using Compass, OARDocs, and other TAMU databases

  • Experience in Higher Education

Preferred Licenses and Certifications:

  • Certified Administrative Professional (CAP)

Preferred Knowledge, Skills, and Abilities:

  • Knowledge of TAMU administrative and fiscal procedures

  • Excellent customer service skills and attention to detail

  • Proficiency in Microsoft Office programs including Word, Excel, Outlook, and PowerPoint

Responsibilities:

  • Administrative Support - Coordinates daily office support activities and administrative interactions. Assists in the coordination of daily workflow and the resolution of complex, highly sensitive and confidential matters. Coordinates the maintenance of files, records, office supplies, or equipment. Coordinates compliance for students regarding the requirements for the Texas Success Initiative (TSI), checking test scores and exemptions as well as serving as backup to the Associate Director and Program Coordinator on providing information regarding required testing and developmental programs to students, parents, faculty, and staff.  Monitors TSI compliance of students coming to New Student Conferences.  Enrolls students in developmental courses when appropriate based on their scores on assessment tests. Composes correspondence, reports, publications, and presentations, including editing and proofreading. Maintains a variety of fiscal, administrative, and academic records. Makes recommendations for process improvements, administrative changes, or new initiatives.

  • Data Entry - Enters, retrieves, and processes data from Compass, OARDocs and other TAMU databases. Enters test scores in Compass. Verifies, processes, and reviews forms, reports, tables, and other documents. Creates and maintains spreadsheets and databases.

  • Information & Service - Serves as contact to students, parents, faculty, and staff in coordinating compliance for students regarding the requirements for the Texas Success Initiative (TSI). Responds to inquiries and interprets rules, regulations, policies, and procedures. Provides general information about TSI and referrals as needed. Researches and analyzes administrative requirements for specific programs or projects. Applies, interprets, and communicates policies and procedures and serves as a resource for answering questions regarding policies. Provides support to the Associate Director and Program Coordinator as needed. Coordinates arrangements for meetings, appointments, conferences, and travel. Coordinates meetings, seminars, and other special events. Performs other duties as assigned.
