Salary: $14.53 - $18.67 (Based on selected hire's qualifications).

Required Education and Experience:

  • High school diploma or any equivalent combination of education and experience
  • Five years of experience in general office or clerical work

Required Knowledge, Skills, and Abilities:

  • Knowledge of word processing, spreadsheet, and database applications
  • Ability to multitask and work cooperatively with others
  • Excellent written communication, analytical, interpersonal, and organizational skills
  • Ability to work in a high stress environment
  • Ability to work with sensitive information and maintain confidentiality
  • Ability to work independently once given a project

Preferred Experience:

  • Experience in higher education or experience working with senior executives

Preferred Knowledge, Skills, and Abilities:

  • Advanced proficiency in Human Capital Management system such as Workday
  • Excellent customer service skills

Responsibilities:

  • Office Support - Coordinates daily front office activities. Assists in problem solving for office activities. Develops office procedures to streamline the flow of front desk operations. Assists in the coordination of daily workflow and the resolution of complex, highly sensitive and confidential matters. Serves as first point of contact for all who visit and call the Vice President suite. Answers phones, greets visitors, provides information, and makes appropriate referrals to callers and visitors, as well as providing direction to student staff who back-up this function. Reviews and distributes incoming business mail and correspondence. Ensures confidentiality. Maintains files, records, office supplies, and equipment.
  • Administrative - Provides administrative support for the Vice President’s suite in the Jack K. Williams administrative building. Works closely with the administrative teams of each vice president. Serves as a contact person for computer and technology needs. Assists with room reservations for various meetings. Assists in the coordination of meetings such as technology set-up, catering arrangements, and directing meeting participants to the appropriate locations. Provides assistance on facilities issues with building maintenance. Serves as a point of contact for work order requests in AggieWorks System. Coordinates the annual space inventory from Facilities Management. Assists with research and coordination of special projects as assigned. Performs other duties as assigned.
