Job Description Summary

The Administrative Assistant V is responsible for the coordination of administrative support for the Department of Medical Education. The College of Medicine is looking for a highly organized and energetic person for a full-time job with the Department of Medical Education. The successful candidate will possess excellent communication skills and have experience in running and supporting administrative tasks related, but not limited to, meeting scheduling, organizing travel and expense reimbursements, and handling confidential information.

Qualifications

Required Education:

High School Diploma or equivalent of education and experience

Required Experience:

Five years of related experience

Preferred Education:

Bachelor’s Degree

Preferred Experience:

Business background

Experience with Concur and Aggiebuy

Experience tracking grant funding and expenses

Experience working in a higher education setting

Ability to multi-task and work cooperatively with others.

Job Responsibilities: 

Department Office Management

  • Assist with the development of new procedures for various departmental initiatives to enhance medical education mentoring, collaboration on scholarly research, and the overall learning environment
  • Assist in the coordination of faculty appointments
  • Review and maintain incoming fiscal requests and records from students, faculty, and staff
  • Ensure Faculty and Staff have access to policies and procedures
  • Answer/triage phone calls and in person inquires made to the Department Head for Medical Education

Scheduling Management Duties

  • Manage calendar scheduling and coordinate support for the Department Head for Medical Education
  • Arrange and coordinate travel arrangements, required approvals, account information & financial paperwork
  • Schedule, organize, monitor, & take minutes for various meetings.

Special Projects & Program Support

  • Provide direct support for the Academy of Distinguished Medical Educators organization by scheduling meetings, preparing material, completing meeting agendas and meeting minutes, ordering, and organizing projects/events
  • Manage and collaborate on various special projects and events
  • Provide general administrative support for departmental committees to include preparing material, scheduling, ordering, and organizing the projects/associated events

Other Duties

  • Performs other duties as assigned.

Pay Range: $14.53 - $18.67
