The Administrative Associate V, works under the supervision of the Assistant Dean of Career Services and is responsible for coordinating the daily office support activities and administrative interactions for the Office of Career Services. They assist in the coordination of daily work flow and the resolution of complex, highly sensitive and confidential matters. Required Education and Experience:

  • High school diploma or GED, or any equivalent combination of education and experience
  • Five years of experience in general office or clerical work

Required Knowledge, Skills, and Abilities:

  • Ability to multi-task and work cooperatively with others
  • Basic knowledge of word processing, spreadsheet, and database applications
  • Ability to work with sensitive information and maintain confidentiality
  • Professional and positive attitude

Preferred Education and Experience:

  • Associate’s degree
  • Higher education experience

Preferred Knowledge, Skills, and Abilities:

  • Sophisticated word-processing skills
  • Strong written and oral communication skills
  • Working knowledge of office technology systems and applications
  • Ability to produce large projects and maintain schedules

Responsibilities:

  • Administrative Support -Is responsible for coordinating the daily office support activities and administrative interactions for the Office of Career Services.  Assists in the coordination of daily work flow and the resolution of complex, highly sensitive and confidential matters. Verifies, processes, and reviews forms, reports, tables, and other documents. Coordinates the maintenance of files, records, office supplies, or equipment. Provides technical information regarding administrative procedures, services, or programs in the Office of Career Services. Develops procedures for complex or specialized functions. Coordinates travel arrangements and prepares itineraries.
  • Project/Event Support -Researches and analyzes administrative requirements for specific programs or projects. Performs special analyses and project summaries. Coordinates meetings, seminars, and other special events.
  • Reporting -Responds to inquiries and interprets rules, regulations, policies and procedures. Maintains a variety of fiscal, administrative, and academic records.
  • Policy Management/Misc. -Provides organizational planning and problem solving skills. Assists in monitoring compliance with policies and procedures. Makes recommendations for process improvements, administrative changes, or new initiatives. Performs other duties as assigned.
