The Administrative Associate V works under general supervision, is responsible for coordinating administrative support for a unit or specialized activity to include the exercise of discretion and independent judgement with respect to matters of significance.

Required Education and Experience:

  • High school graduation or any equivalent combination of education and experience.

  • Five years of experience in general office or clerical work.

Required Knowledge, Skills, and Abilities:

  • Knowledge of word processing, spreadsheet, database, and presentation applications.

  • Ability to multitask and work cooperatively with others.

  • Excellent interpersonal and communication skills.

  • Planning and organization skills.

  • Ability to work with faculty, staff, and students in a professional academic department with tact, diplomacy, and confidentiality.

Responsibilities:

  • Office Management/Administration: Answers departmental telephones, screening calls and forwarding as needed. Greets guests that enter the Admin Office. Manages various department parking permits. Maintains and orders office and copier supplies. Receives, sorts, and routes mail and package. Organizes and coordinates the VLCS Seminar Series. Assists with room reservations. Assists with Departmental updates such as, Department website, directory, phone list, and office assignments. Provides organizational planning and problem solving to supervisor for the daily operation of the department admin office, including liaison with faculty and staff. Assists with coordination and planning of special events and coordination of logistics related to the events. Provides administrative support to the Department Research and Graduate Studies Committee (RGS) and attends monthly meetings of RGS. Provides administrative support to the Executive Assistant.

  • Faculty Support: Assists faculty with entering and updating CV information into Faculty 180. Assists with faculty evaluations in Faculty 180. Assists with the scheduling of faculty evaluation meetings. Manages adding and renewing Departmental Adjunct Faculty. Supports faculty and Executive Assistant with the Promotion and Tenure (P&T) process, assisting with compiling of information needed to complete P&T packets. Provides general clerical duties for the faculty members of the department. Assist with general correspondence, recommendation letters, nomination letters, forms, and CV’s.

  • Faculty/House Officer Recruitment: Assists with Faculty and Resident recruitment, including, assisting with the coordination of itineraries, setting up meetings and preparing materials. Assists the House Officer Coordinator with Veterinary Internship & Residency Program (VIRMP) process to hire House Officers (Interns/Residents), including but not limited to, assisting with pulling applicants, organizing files, confirming applications are qualified for the positions and sharing those results with Program Directors. Performs other duties as assigned
