Position Overview
The Administrative Associate position will provide administrative and communications support for four CLAS departments (East Asian Languages and Cultures; French, Francophone and Italian Studies; German Studies; and Slavic and Eurasian Languages and Literatures - SEAFIG). This position provides particular administrative support to the chairs of German and Slavic & Eurasian. The position is a critical part of a collaborative team that works in partnership to further the mission of the academic departments it supports.
The Administrative Associate must have strong communication, organization, and web design and social media skills. This position reports to the Office Manager and works in close partnership with the chairs of the academic departments.
Job Description
25% Chair & Faculty Support for German and Slavic
- Serves as a liaison to faculty for information about deadlines and policies
- Schedules departmental meetings and takes notes
- Works with chairs and faculty to submit paperwork for annual faculty evaluations, preparing promotion and tenure review, and financial reimbursements for purchases
- In partnership with Office Manager, updates and maintains course scheduling
- Coordinates correspondence, calendar scheduling, and faculty interviews and hires on behalf of the chairs
- Resolves complex challenges related to daily functioning of departments
- Assists in the daily operations of the front office and provides coverage as needed
- Helps train and works with student hourly employees
- Manages departmental email accounts
- Serves as a liaison to the Shared Service Center for departmental appointments (academic, staff, and student positions)
- Helps with management of projects and ongoing grants
- Coordinates and manages departmental event details such as catering, location/room scheduling, venue set up, guest accommodations, photography, materials and handouts, presenter needs, technology resources, and other related tasks. Departmental events include ceremonies, recruitment and outreach events, open houses, language clubs, student organizations, and guest speakers
- Facilitates event-related financial transactions in collaboration with the department’s Shared Service Center
- Manages outreach efforts for German and Slavic departments targeting a variety of constituents, including donors, alumni, University units, colleagues, and current students
- Advertises events for German and Slavic departments using flyers, brochures, email, social media, websites, and University calendar posts
- Creates course flyers and helps promote courses for SEAFIG departments
- Creates content and maintains German and Slavic department websites and social media accounts
- Assists with departmental newsletters on recurring basis in coordination with chairs of SEAFIG departments
- Coordinates with Ermal Garinger Academic Resource Center (EGARC) web administrator and other units for any language requirement updates
Position Requirements
This position will be designated as hybrid (some work may be able to be performed remotely and other work performed on-campus).
