Position Overview

The Ralph N. Adams Institute of Bioanalytical Chemistry is seeking a part-time Administrative Associate to provide office coordination and support for the day-to-day activities of the Institute’s Director, Prof. Susan Lunte, and serve as the primary administrative contact for the Institute. This position will team with the Institute’s Program Manager to provide administrative support for the Director in both daily operations and special projects, working closely with Chemistry, SSC and AMS personnel as appropriate. The position will also be responsible for communications and promotional activities for the Institute, and as a part of KU’s Chemistry Department, will assist with Chemistry guest seminars and serve as a liaison for Analytical Chemistry faculty and students associated with the Institute.

The responsibilities of this position include a wide variety of duties and will require initiative, independent judgment, and discretion. The successful candidate will have excellent written, oral and organizational skills, and will be able to work both independently and in a team environment. This is a 20-hour per week on-site position with schedule flexibility between 8:00am-5:00pm Monday-Friday.


Job Description

70% Director’s Office Administration

  • Assist with Director’s travel arrangements, both domestic and international; compile and submit reimbursement requests after travel
  • Compose business letters and email correspondence for Director from written outlines and verbal guidance; maintain organized records of all correspondence
  • Provide administrative support for Director’s other activities as required, including assisting with grant proposal preparation, overseeing budgets for grants, KUEA and other funding sources, and serving the diverse needs of Director’s research group including students, postdocs, visiting scientists and international scholars
  • Manage office operations, including creating and maintaining various electronic files, directories, and address lists primarily using Microsoft Excel & Outlook
  • Other duties as assigned

20% Communications

  • Create, publish and maintain webpages and contact for Institute website in Drupal 8/Sunflower
  • Develop and distribute programmatic communication materials such as brochures, newsletters and other materials publicizing Institute.
  • Compose press releases and articles featuring Adams Institute participants, such as faculty awards and new research developments, student and alumni highlights, communications around events and resources for students, and other strategic writing as needed. Research and interview contacts for articles.

10% Chemistry Department support

  • Assist with organization of invited presentations and symposia, including coordinating travel arrangements, meetings times and locations with various on and off-site visitors, arrangements for catering/venue requirements and event promotion. This includes the annual Werner and Adams Lecturers for the Chemistry Department’s Friday seminar series, as well as Adams Institute-sponsored events.
  • Act as a liaison for Institute’s analytical chemistry faculty and students, as well as Chemistry Department staff, by serving as Analytical Division administrative coordinator. Responsibilities include:
    • Assisting with weekly Analytical Chemistry seminar series each semester, organizing seminar schedule and disseminating information of interest to other departments, updating Chemistry webpage with seminar schedule and abstracts as needed, coordinating any needed meeting times/locations for seminar guest with faculty and students
    • Overseeing annual Leedy/Kuwana Graduate Travel Award competition, including collecting/disseminating student nominations, notifying awardees, coordinating with SSC accounting specialist

Position Requirements

On-site position in MRB, Room 220.


Required Qualifications

  • High school diploma or GED equivalency and four years of office experience or four years of post-secondary education.
  • At least one year of experience working with Microsoft Office programs as evidenced by application materials. 
  • Excellent writing and organizational skills as evidenced by application materials
  • Excellent oral communication skills as evidenced by interview

  • Preferred Qualifications

  • Experience working in a University environment
  • Ability to work independently as well as in a teamwork environment.
  • Appreciation for the diverse needs and concerns of faculty, researchers, administrators and          others in a highly active research/teaching environment.
  • Demonstrated experience with handling and resolving problems, using independent judgment, and gaining necessary knowledge to apply to resolution of problems as identified through the application materials, interview and references.
  • Experience with web page design, development and maintenance.
  • Working knowledge of KU’s Content Management System (Drupal 8/Sunflower).
  • Experience with the development of newsletters, brochures, or symposia/workshop                materials.
  • Experience with proposal preparation and grants administration
