Position Overview

The Office of Financial Aid and Scholarships reports to the Vice Provost for Enrollment Management which includes the following functional units: Office of the Undergraduate Admissions, Office of Graduate Admissions, International Admissions, Enrollment Marketing & Communications, Enrollment Management Services, Financial Aid and Scholarships, Student Lifecycle Technology, and the Office of the University Registrar.

The Office of Financial Aid and Scholarships (FAS) serves students, families, and the community by providing federal, state, and institutional financial aid information and resources to assist students in achieving their educational goals.  Services are designed to support the educational goals of the individual student and the goals of the university as they relate to retention and graduation.  The promotion of educational access and equity for all students is a central focal point for FAS as they work with a diverse student population. FAS is committed to providing quality financial aid services to its constituents while maintaining accountability in the administration of public, institutional, and private financial aid funds.

Reporting to the Assistant Director of Aid Packaging, this position assists with various segments of the financial aid programs administered by the Financial Aid and Scholarships office and requires familiarity and expertise with the Federal Higher Education Amendments (HEOA), as well as with other federal, state, institutional and private financial aid regulations and policies. This position is critical in supporting our scholarship administration system – UKASH.

Job Description

30% UKASH Management

  • Works with campus partners to develop their applications in UKASH – the KU one-stop destination for scholarship opportunities. Fosters the use of this system to maximize efficiency and effectiveness of data, providing support for end users.
  • Works in conjunction with supervisor to develop scholarship review processes for academic departments.
  • Assists in producing training materials to support campus partners. Provides deskside training and support. Maintains professional working relationships across campus.
  • 30% FAS Scholarship Coordination
  • Responsible for processing FAS institutional scholarships, fellowship posting requests, and outside scholarships.
  • Interprets KU Endowment Association scholarship agreements and sets up funds in multiple systems.
  • Utilizes SLATE and reviews various reports to ensure accuracy of scholarship offers to prospective students.
  • Adjusts scholarships for issues such as enrollment, residency changes, and study abroad.
  • 20% Packaging and Adjustment Support
  • Adjusts student budgets to facilitate posting awards.
  • Supports federal, state, and institutional financial aid programs by posting aid such as grants, waivers, and sponsorships in Enroll & Pay.
  • Processes Federal PLUS loans, including setting up parental data for loan originating and communicating with borrowers as needed.
  • Ability to access secure data in the Federal Student Aid Application Systems (requires a valid social security number and applicant cannot be in default on a federal student loan).
  • Assumes additional responsibilities as assigned.
  • 20% FAS Service Delivery
  • Involves strong service-delivery skills, including high-level problem-solving and discerning funding options available in difficult situations.
  • Serves as a primary point of contact for campus departments and handles student escalations related to scholarships. This involves handling incoming email through the scholarship account and managing HawkHelp service tickets.

  • Required Qualifications

  • High School Diploma or GED equivalency.
  • 4 years of office experience or 4 years of post-secondary education.

  • Preferred Qualifications

  • Demonstrated effective written and oral communication skills.
  • One year of related accounting experience.
  • Excellent problem-solving skills, with the ability to think outside of the box and develop creative solutions to complex challenges.
  • Demonstrated strong service delivery skills, with the ability to effectively communicate technical information to non-technical stakeholders.
  • Record keeping skills and ability to organize and manage multiple detailed tasks accurately.
