Position Overview

The Achievement and Assessment Institute (AAI) is a designated research center with an annual budget of $50M, 300 full time staff and 225 temporary staff (GRAs, Students, and Temps).
The Achievement & Assessment Institute (AAI) at the University of Kansas exists to improve the performance of children, adults, and organizations throughout local, state, and national communities. AAI currently includes seven strategic centers, which represent a diversity of services and programs and supports faculty research, both in the School of Education and Human Sciences and other academic units. AAI centers are strongly mission driven, but also are significantly more entrepreneurial than a typical university research center. The AAI mission is accomplished in four primary ways.

  • Partnering with local, state, national, and global communities to apply scholarship to implement programs with direct public impact and to serve the greater good.
  • Developing and publishing generalizable knowledge that allows leveraging of the solutions developed so that the success of the first part of our mission is magnified.
  • Providing faculty with the support and encouragement they need to generate resources for research and development in support of enhanced achievement of individuals and organizations.
  • Providing students with experiences vital to their professional development.

The Administrative Associate Sr. will be a crucial member of the AAI Central Office team. This position will assist the AAI Associate Director for Finance and Administration to carry out the mission of the Institute, while cultivating a positive and inclusive culture with diversity, equity, inclusion and belonging at the forefront. The incumbent will work with AAI centers, as well as in partnership with the Shared Service Center and KU Human Resources, ensuring processes are completed timely and efficiently. 


Job Description

Administration (70%)

  • Supports AAI Associate Director for Finance and Administration with travel arrangements, purchasing and scheduling.  Will create and maintain appropriate meeting materials and/or agendas.
  • Serves as the main point-of-contact for visitors to the St. Andrews Office Facility.
  • In conjunction with AAI centers, identifies best practices, and assists in the planning and implementation of various AAI processes; recruitment, DEIB strategies, employee onboarding and orientation, and training.
  • Creates and maintains database record management system for different processes handled by the Finance & Administration area.  Will produce reports as requested.  Creates and provides presentations and written reports to AAI leadership and center staff as needed from the database information.
  • Monitors, tracks, and reports on the employee evaluation process for AAI purposes.  Will ensure timelines and expectations are met for KU deadlines. 
  • While staying abreast of KU policies, will develop and communicate centralized AAI policies pertaining to Human Resources to ensure compliance.  Advises units on appropriate policy at KU and within AAI that applies based on the situation.
  • Works with International Support Services on center requested H-1B visa process and works with immigration attorney on permanent residency cases as contracted.
  • Purchases supplies and materials needed for AAI central office team.
  • Updates AAI email distribution lists.

  • Coordination (20%):
  • Coordinates and administers support for AAI HR processes, serving as a liaison between KUHRM, SSC and AAI’s center staff.  Advises AAI Units on appropriate processes.
  • Coordinates the Effort Certification process and reports to center directors ensuring adherence to deadlines. 
  • Coordinates AAI document destruction, ensuring compliance with records retention policy.

  • Other (10%):
  • Collaborates with AAI Central Office staff on activities, events, and special projects.
  • Fulfills other duties as assigned by the AAI Associate Director for Finance and Administration.

  • Position Requirements

    This position will begin in a hybrid work status, which may transition to fully on-site when deemed safe and appropriate.


    Required Qualifications

  • Bachelor’s degree OR high school diploma/GED plus 4 years of office experience
  • Minimum of 3 years using Microsoft Office products, with strong excel experience with financial and/or administrative data as demonstrated in application materials.
  • Strong written communication skills as demonstrated by written materials.
  • Experience working with and/or maintaining highly confidential information as evidenced by application materials.
  • Collaborative working style as demonstrated in application materials.

  • Preferred Qualifications

  • Bachelor’s degree in business, finance, human resources, public administration, or related field.
  • Minimum of 1 year work experience in an institute of higher education.
  • Excellent analytical skills.
  • Self-motivated, deliverable-focused, strong work ethic, able to prioritize and resolve an array of issues simultaneously while working independently with little supervision.
