Position Overview

The School of Music at the University of Kansas invites applications for the position of Graduate Studies Support Staff. This position reports directly to the Director of Graduate Studies in the School of Music. The position will advise graduate students, faculty and staff on appropriate School and Graduate Studies enrollment and graduation procedures. Communicate graduate policies, use discretion in the review and approval of graduate students for probation, petitions, extensions, grade changes, academic status changes, and academic dismissals; refer any student issues to the Director of Graduate Studies.
Use Graduate Admissions application (ADMIT), for School of Music graduate applications. Communicating with applicant, faculty, Graduate Studies, Graduate Admissions, International Student Services and the Applied English Center. Admit or deny prospective students as indicated by faculty through ADMIT. Serve as the administrator for the online audition service, Accepted. Support graduation auditions on the School of Music audition days. Assist with the School of Music convocation.

The position requires experience in handling confidential information. The individual must exercise independent judgment to solve problems, possess excellent oral and written communication skills and organizational skills, with great attention to detail.

Due to COVID-19 restrictions, this position may work a combination of on-site and telework.  Once restrictions have lifted, this position will return to work totally on-site at the Lawrence campus.


Job Description

  • 45% - Student services. Manage official records of graduate students for the School of Music (approximately 240 students). Advise graduate students, faculty, and staff on appropriate School and Graduate Studies enrollment and graduation procedures. Communicate graduate policies to students and faculty. Based on University, School, and program policies, use discretion in the review and approval of graduate students for probation, petitions, extensions, grade changes, academic status changes, and academic dismissals; refer any student issues to the Director of Graduate Studies. Use the Graduate Progress toward Degree (GPtD) online system to submit and approve graduate student oral and final exams. Perform a degree check for each graduate student and certify that graduation requirements have been met and recorded with the Registrar’s office. Proof and edit the School of Music entries in the KU Catalog. Update student files after 20th day to reflect current enrollment and update grades from previous semester. Communicate student progress toward degree problems to students, faculty, Director of Graduate Studies, and Assoc. Dean for Academic Affairs. Provide additional data as requested. Manage databases for student information each semester.  Prepare and disseminate bi-monthly Career Services Newsletter for scholarship, employment and other professional and educational opportunities. Other duties as assigned.
  • 45% - Graduate applications and admissions. Use Graduate Admissions application, ADMIT, for School of Music graduate applications. Update applications as needed. Communicate with applicants about required materials and application status. Communicate with faculty concerning applicant files. Communicate with Graduate Studies, Graduate Admissions, International Student Services, and the Applied English Center regarding graduate applicants as needed. Admit or deny prospective students as indicated by faculty through ADMIT. Serve as an administrator for the online audition service, Accepted. Support graduate auditions on School of Music audition days. Update ADMIT and Accepted sites as needed and requested. Communicate orientation information to incoming graduate students throughout the preceding summer.
  • 10% - Assist with the School of Music convocation. Organize Fall semester Graduate Student Meeting with Director of Graduate Studies. Assist with summer freshman Attend COGSIM monthly meetings to record minutes. Represent the School of Music at Graduate Studies and Registrar meetings. Other duties as assigned.

Required Qualifications

  • Four (4) years of post-secondary education with one (1) year of experience in student support services or financial services, OR high school diploma (or GED equivalent) with four (4) years of experience in student support services or financial services.
  • Previous experience using MS Excel and other data-management applications.
  • Previous experience working with confidential information, including sensitivity to student, faculty and administrative concerns and interests.
  • Demonstrated strong organizational skills and ability to perform accurate detailed work.
  • Strong written and oral communication skills as evidenced by application materials and interview process.

  • Preferred Qualifications

  • Completed academic degree in music or related field.
  • Experience working directly with students.
  • Experience using campus information systems.
  • Previous work experience with relational databases.
